Job Description:

We are seeking a versatile and result-driven Procurement & Maintenance Officer to manage the dual functions of supply chain and facilities oversight. In this role, you will be responsible for the end-to-end sourcing and purchasing of goods while ensuring our physical infrastructure including power systems, vehicles, and air conditioning is maintained at peak efficiency. You will balance commercial negotiation with technical inspections to ensure cost-effectiveness, safety compliance, and minimal operational downtime.

The ideal candidate is a highly organized professional with strong financial awareness and the technical background to oversee complex facility maintenance schedules.

Requirements:

Procurement & Vendor Management

• Strategic Sourcing: Identify, evaluate, and select suppliers based on a rigorous assessment of quality, price, and delivery speed.

• Negotiation & Contracts: Negotiate pricing and terms with vendors to ensure cost savings; prepare and process purchase orders and commercial contracts.

• Inventory Control: Monitor inventory levels and collaborate with departments to forecast needs and ensure the timely delivery of essential goods.

• Market Research: Conduct ongoing market research to explore pricing options and identify cost-saving opportunities.

Facilities & Asset Maintenance

• Systems Oversight: Ensure the consistent functioning of lighting, water supply, power systems (generators/inverters), and HVAC (air conditioning) units.

• Fleet & Equipment Management: Conduct routine inspections and oversee the maintenance and repair of official vehicles, office machinery, and equipment.

• Preventive Maintenance: Design and execute scheduled preventive maintenance plans for all company assets to prevent unexpected failures.

• Emergency Response: Act as the primary responder to maintenance requests and facilities emergencies, ensuring rapid resolution and safety compliance.

Compliance & Administration

• Record Keeping: Maintain meticulous procurement and maintenance logs, documenting all transactions, repairs, and vendor performance evaluations.

• Policy Adherence: Ensure all activities comply with internal procurement policies and legal/regulatory requirements.

Qualifications and Skills:

Education & Experience

• Degree: Bachelor’s Degree in Supply Chain Management, Business Administration, or a related field.

• Experience: 4–7 years of relevant experience in procurement and facilities maintenance roles within a structured organization.

• Sector Knowledge: Proven track record in managing both purchasing cycles and physical asset maintenance.

Technical & Professional Skills

• Negotiation: Strong ability to secure favorable terms and manage vendor relationships effectively.

• Analytical Skills: Good organizational and financial budgeting abilities to ensure operational efficiency.

• Technical Aptitude: Familiarity with building systems (Power, Water, HVAC) and vehicle maintenance protocols.
