Job Description:

We are seeking a highly organized and ethically grounded Procurement Officer to lead the acquisition of goods, services, and materials for our organization. In this role, you will be the guardian of our supply chain reliability, focusing on cost efficiency, quality assurance, and strict compliance with procurement policies. You will serve as the primary link between the organization and its vendor network, ensuring that all purchases meet our exacting standards while optimizing the company's spend.

The ideal candidate is a master negotiator with a sharp eye for market trends and the analytical rigor to manage complex supplier relationships.

Requirements:

Strategic Sourcing & Negotiation

• Vendor Discovery: Source and evaluate reliable suppliers and vendors for a diverse range of company materials and services.

• Price Optimization: Request and meticulously compare quotations; negotiate prices, delivery schedules, and payment terms to ensure the best value for the organization.

• Market Intelligence: Conduct ongoing market research to identify superior products and emerging pricing opportunities.

Order Management & Logistics

• Purchase Coordination: Prepare purchase orders (POs) and navigate the internal approval hierarchy to ensure timely acquisition.

• Inventory Liaison: Monitor stock levels and coordinate with the store and accounts departments to initiate timely, data-driven purchases.

• Delivery Tracking: Actively track deliveries and manage follow-ups on delayed supplies to prevent operational bottlenecks.

Quality Control & Compliance

• Standards Enforcement: Ensure all purchased materials meet company specifications and quality standards through rigorous verification.

• Documentation: Maintain impeccable procurement records and documentation, ensuring an audit-ready paper trail for every transaction.

• Policy Adherence: Ensure all procurement activities comply with internal policies and standard operating procedures.

Relationship & Performance Management

• Vendor Relations: Build and nurture long-term, professional relationships with key suppliers.

• Performance Monitoring: Evaluate supplier performance regularly and resolve any disputes or procurement issues with professional poise.

• Reporting: Prepare comprehensive procurement reports for management review, highlighting cost savings and supply chain efficiency.

Qualifications and Skills:

Education & Technical Skills

• Degree: Bachelor’s Degree in Supply Chain Management, Business Administration, or a related field.

• Tools: Proficiency in Microsoft Excel, Word, and experience with ERP systems (specifically Odoo or similar platforms).

• Domain Knowledge: Deep understanding of purchasing procedures, inventory control, and supply chain management.
