Job Description:
We are seeking a high-energy, professional, and meticulous Front Desk & Admissions Officer to serve as the face and voice of our institution. This is a dual-impact role: you are responsible for maintaining a world-class front-office experience while simultaneously acting as a Growth Catalyst by managing the end-to-end student admission journey.
The ideal candidate understands that the front desk is a "Confidential Zone" and a "Conversion Hub." You must be adept at using CRM software to track prospective parents, managing high-volume communication via WhatsApp and Google Calendar, and upholding the prestigious image of the school through impeccable conduct and hygiene.
Requirements:
1. Front Office Excellence & Brand Image
Primary Liaison: Serve as the professional first point of contact for parents, visitors, and staff, maintaining an alert and approachable posture at all times.
Visitor Governance: Direct visitors appropriately, ensuring strict adherence to sign-in/out protocols and reception organization.
Telecommunications: Manage all calls using prescribed protocols, ensuring clear, slang-free, and helpful communication.
2. Admissions Pipeline & Client Conversion
Enrollment Journey: Expertly guide prospective parents from the initial "warm lead" stage to successful student enrollment.
Data Management: Meticulously record prospective client data in the school’s software and execute proactive follow-up schedules.
Nurture Campaigns: Utilize "Did You Know" content and scheduled broadcasts to maintain brand awareness and interest.
Financial Integrity: Strictly monitor payment confirmations into the school’s official account; zero-tolerance for physical cash handling by the FDO.
3. Administrative Support & Conflict Resolution
Complaint Architecture: Log and track all complaints via the school software, ensuring they are forwarded to the correct departments and resolved with timely feedback provided to parents.
Information Dissemination: Manage official school broadcasts and utilize Google Calendar to automate recurring communication tasks (e.g., event reminders, holiday updates).
Confidentiality: Uphold the front desk as a secure space, ensuring student and staff data is never released without explicit Head of School approval.
Qualifications and Skills:
Professional Profile
Education: OND or Bachelor’s Degree in any discipline.
Experience: 3–6 years in a front-facing administrative, customer service, or admissions role.
Tech Stack: Proficiency in Google Calendar, school management software (CRM), and professional WhatsApp communication.
Added Advantage: Proven Social Media management skills to support brand visibility.
Core Competencies
Sales Aptitude: The ability to "close the deal" with prospective parents through persistence and persuasion.
Professional Conduct: Absolute adherence to dress codes, hygiene standards, and ethical communication (no gossiping or insubordination).
Multitasking: Managing physical visitors while coordinating digital broadcasts and administrative logs.
