Job Description:
We are seeking a high-caliber Executive Personal Assistant to serve as the strategic right hand to our Director. In the Marine & Offshore sector, operations are 24/7, global, and highly regulated. Your mission is to provide seamless administrative leadership, ensuring that the Director’s office operates with peak efficiency.
This is a multi-dimensional role that extends beyond traditional assistance. You will oversee board-level secretariat coordination, manage complex international travel and immigration compliance, and supervise facility/estate operations for the Executive Office. Requirements:
1. Executive Governance & Secretariat
Strategic Calendar Management: Act as the "gatekeeper," prioritizing high-value meetings and managing the Director’s time against organizational goals.
Board Coordination: Facilitate executive and board meetings, including the preparation of agendas, high-level reporting, and the meticulous recording of minutes.
Communication Stewardship: Draft, review, and finalize sensitive correspondence and technical reports with a "zero-error" standard.
2. Global Mobility & Immigration Logistics
Travel Architecture: Manage complex local and international travel logistics, ensuring all itineraries align with offshore project timelines.
Immigration Compliance: Take full ownership of visa applications, renewals, and immigration protocols, ensuring the Director and key personnel are always compliant with international travel regulations.
Liaison Management: Serve as the primary point of contact for external embassies, vendors, and service providers.
3. Facility & Estate Operations
Asset Oversight: Oversee the facility and estate operations of the Executive Office, ensuring a professional and functional environment at all times.
Vendor Management: Supervise third-party service providers (maintenance, security, and estate staff) to ensure service level agreements (SLAs) are met.
Discretion & Privacy: Maintain an absolute standard of confidentiality regarding the Director’s professional and personal estate affairs.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree or HND in Business Administration, Law, International Relations, or a related field.
Experience: Minimum of 5 years of relevant experience as an Executive Assistant to C-suite leadership (Marine, Energy, or Logistics sectors preferred).
Technical IQ: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern scheduling tools.
