Job Description:
We are seeking a meticulous and highly qualified Finance and Administrative Officer to manage financial transactions, reporting, and operational compliance. This role is designed for a detail-oriented professional with a strong background in NGO accounting and statutory audits. You will be responsible for the integrity of financial records, donor budget development, and procurement governance. The ideal candidate possesses the technical mastery of QuickBooks and Excel to handle complex reconciliations and the communication skills to advise staff on travel claims and financial policies. This is a critical position that ensures our financial operations align with both local regulations and international donor guidelines (EU, CDC, USG).
Requirements:
1. Financial Accounting & Reconciliation
Transaction Lifecycle: Oversee the end-to-end processing of financial transactions, ensuring every entry is verified, calculated accurately, and backed by source documentation.
System Integrity: Maintain robust financial records and monitoring systems using QuickBooks to reconcile expenditures, balances, and payments for daily reporting.
Travel & Claims: Act as the primary advisor to staff on travel claims and financial matters, ensuring all authorized payments for services and claims are calculated and disbursed promptly.
2. Reporting & Donor Compliance
Reporting Excellence: Prepare timely quarterly financial reports and management intelligence in accordance with strict financial guidelines.
Grant Budgeting: Develop and manage complex financial budgets for donors, ensuring alignment with program activities and funding cycles.
Audit Readiness: Lead the preparation for statutory audits and local NGO audits, ensuring all documentation is transparent and verifiable.
3. Procurement & Operations Support
Strategic Procurement: Execute procurement activities, including vendor pre-qualification, competitive selection processes, and quotation analysis.
Program Synergy: Provide direct financial support to program activities, ensuring resource allocation is efficient and compliant with project objectives.
Data Management: Select and enter data from diverse sources, performing necessary calculations to assure the inclusion of all relevant project data.
Qualifications and Skills:
Education & Professional Standing
Academic: Graduate with a Bachelor’s Degree or HND in Accounting or a related Social Science field.
Academic Merit: Must hold a First Class, Second-Class Upper (2.1), Distinction, or Upper Credit.
Certification: Must be a Full Member of ICAN (or equivalent). Additional professional certifications are an added advantage.
Experience & Technical Skills
Tenure: 3 to 4 years of experience in finance-related roles, preferably within the NGO sector.
Software Mastery: Advanced proficiency in QuickBooks, Microsoft Excel, and PowerPoint.
Funding Knowledge: Practical experience managing EU, US CDC, or other USG funding is a significant advantage.
Audit Background: Proven experience in participating in statutory or local NGO audits.
