Job Description:

We are seeking a highly organized, proactive, and discreet Executive Assistant (EA) to serve as a strategic partner to the Executive Director. In this high-impact role, you will do more than manage a calendar; you will serve as the "Air Traffic Controller" for the Executive Office. You will be responsible for streamlining communications, managing complex schedules, and handling sensitive information with absolute integrity. The ideal candidate acts as a force multiplier, ensuring the Executive Director can focus on high-level strategy while you handle the operational details of their daily professional life.

Requirements:

1. Executive Orchestration & Scheduling

  • Calendar Management: Masterfully manage the Executive Director’s calendar, prioritizing high-value meetings and protecting their time from non-essential interruptions.

  • Travel & Logistics: Coordinate end-to-end travel arrangements, including flight itineraries, accommodation, and local transport, ensuring seamless transitions between engagements.

  • Meeting Lifecycle: Coordinate meetings, draft agendas, record detailed minutes, and—most importantly—track action points to ensure deadlines are met by internal teams.

2. Strategic Communication & Gatekeeping

  • Primary Liaison: Act as the professional "first point of contact" for internal and external stakeholders, filtering calls, emails, and requests with tact and authority.

  • Correspondence & Reporting: Prepare high-level correspondence, complex reports, and visually compelling presentations that reflect the Executive Director’s voice and brand.

  • Confidentiality: Navigate sensitive matters and proprietary information with a "vault-like" approach to discretion.

3. Administrative Operations & Projects

  • Office Administration: Support the general administrative needs of the Executive Office, including expense tracking and document filing.

  • Special Projects: Assist with research and project management for special initiatives assigned by the Executive Director.

  • Deadline Tracking: Utilize project management tools to monitor critical milestones and alert the Director to upcoming priorities.

Qualifications and Skills:

Education & Experience

  • Academic Background: HND/BSc in Business Administration or a related field.

  • Proven Tenure: 1–2 years of experience in a professional administrative or assistant role (Experience supporting C-suite executives is an advantage).

Core Competencies

  • Communication Mastery: Exceptional written and verbal communication skills; ability to draft professional emails and formal reports.

  • Technical Proficiency: Expert-level skill in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).

  • Time Management: Demonstrated ability to multitask and meet tight deadlines while working under pressure.

  • Professional Poise: A high level of emotional intelligence and the ability to work independently with minimal supervision.
