Job Description:
- The Depot Representative Officer is responsible for coordinating the dispatch of trucks from third-party depots through the ERP system, ensuring timely loading, accurate stock management, and compliance with operational procedures.
- The role also supports stock reconciliation, vessel discharge activities, and reporting, with the objective of minimizing cargo losses and ensuring efficient depot operations.
Key Responsibilities
- Coordinate the dispatch of trucks loaded from third-party depots via the ERP system.
- Ensure timely loading and dispatch of trucks to prevent throughput delays and demurrage.
- Verify that all truck loading and dispatches are executed in line with approved daily pricing/rates on the ERP.
- Maintain accurate and up-to-date stock records on the ERP system.
- Prepare and circulate daily truck-out reports to relevant stakeholders.
- Conduct daily stock reconciliation with third-party depots and ensure alignment with ERP records.
- Review and sign off on monthly stock reconciliation reports in collaboration with Internal Audit (IACD).
- Participate in vessel discharge operations at the terminal to ensure accurate product receipt and documentation.
- Monitor and provide daily and weekly updates on vessel receipts into third-party depots.
- Ensure prompt issuance of waybills and accurate documentation for all dispatched trucks
- Maintain strict adherence to operational controls, safety standards, and compliance requirements.
Requirements:
- HND / BSc in Logistics, Supply Chain, Engineering, or related field
- 1–3 years’ experience in depot operations, logistics, or terminal operations.
Skills & Competencies:
- Strong analytical and reconciliation skills
- Good knowledge of depot/terminal operations and dispatch processes
- High level of accuracy and attention to detail
- Effective communication and reporting skills
- Ability to work under pressure and meet operational deadlines
- Strong integrity and compliance mindset
Working Conditions:
- Based at depot/terminal environment
- May require extended hours during vessel discharge or peak operations
