Job Description:

We are seeking a cheerful, warm, and highly organized Administrative Officer to serve as the operational heartbeat of our office. In this role, you will be responsible for ensuring that day-to-day operations and staff activities run with seamless precision. You are the first point of contact for our team and visitors, requiring a unique blend of professional poise and approachable energy. The ideal candidate is a proactive problem-solver with a "can-do" attitude, capable of managing multiple priorities while maintaining an orderly, welcoming, and high-functioning workplace.

Requirements:

1. Office Operations & Staff Coordination

  • Workflow Mastery: Oversee and streamline day-to-day office activities, ensuring that the environment is conducive to high productivity.

  • Operational Oversight: Manage office supplies, vendor relationships, and facility maintenance to prevent any disruptions to business continuity.

  • Staff Support: Act as a central resource for staff inquiries, helping coordinate internal schedules and operational requests.

2. Communication & Documentation Excellence

  • Professional Correspondence: Draft clear, professional emails, memos, and reports with high verbal and written accuracy.

  • Data & Records Management: Utilize MS Word and Excel to maintain meticulous records, track expenses, and manage databases.

  • Presentation Support: Assist in creating impactful PowerPoint presentations for meetings and internal briefings.

3. Time Management & Prioritization

  • Scheduling Precision: Manage office calendars and meeting schedules, ensuring all stakeholders are aligned and deadlines are met.

  • Multi-tasking: Balance administrative duties with front-facing responsibilities without compromising on quality or warmth.
