Job Description:
We are seeking a proactive and highly organized Admin Officer to serve as the operational backbone of our office. In this role, you will be responsible for ensuring that all administrative systems run like clockwork—from managing facility logistics and vendor relationships to maintaining critical documentation and supporting staff needs. You are the "go-to" person who ensures the environment is productive, compliant, and professional. If you have a high attention to detail and a "get-it-done" attitude, we want you to lead our office operations.
Requirements:
1. Facility & Resource Management
Office Maintenance: Oversee the daily upkeep of the office environment, ensuring all utilities, equipment, and facilities are fully functional.
Supply Chain Control: Manage inventory levels for office supplies and stationery, preventing stock-outs through proactive vendor coordination.
Vendor Liaison: Act as the primary point of contact for external service providers (cleaners, security, repair technicians), ensuring high service standards.
2. Records & Documentation Governance
Information Management: Maintain a centralized and secure filing system for both physical and digital records, including contracts, personnel files, and financial receipts.
Correspondence: Manage incoming and outgoing mail, internal memos, and official company communications with professional precision.
Reporting: Prepare periodic administrative reports on office expenses, maintenance schedules, and resource utilization.
3. Executive & Staff Support
Meeting Coordination: Organize board meetings, staff briefings, and company events, including room booking and minute-taking.
Travel Logistics: Support staff and management with travel arrangements, hotel bookings, and itinerary planning.
Onboarding Support: Assist in the administrative setup for new hires, ensuring they have the necessary tools and access from day one.
Qualifications and Skills:
Professional Profile
Education: Minimum of an OND (Ordinary National Diploma) in Business Administration, Public Administration, or a related field.
Experience: Prior experience in an administrative or office management role is an advantage.
Digital Literacy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office software.
Core Competencies
Organizational Rigor: Ability to prioritize multiple tasks in a fast-paced environment.
Problem-Solving: A proactive approach to identifying and resolving office-related challenges.
Communication: Excellent verbal and written communication skills for internal and external liaison.
