Job Description:
We are seeking a highly organized and commercially aware Procurement / Admin Officer to strengthen our supply chain and operational efficiency. This role is the "nerve center" of our sourcing activities—responsible for ensuring that every piece of equipment, material, and service is sourced at the right price, from the right vendor, and with the right documentation.
You will manage the end-to-end procurement lifecycle while providing the administrative backbone for day-to-day office operations. If you have 3–5 years of experience navigating the high-stakes procurement needs of an industrial or construction environment and possess a "zero-error" mindset for record-keeping, we invite you to join our team.
Requirements:
1. Strategic Sourcing & Vendor Governance
The Procurement Cycle: Source and obtain competitive quotations for goods and services, ensuring all requisitions align with company policy and budget limits.
Vendor Onboarding: Manage the technical verification of new suppliers, maintaining a robust, pre-qualified vendor database.
Tender Support: Lead the preparation of Requests for Quotation (RFQs) and develop bid comparison summaries to support executive decision-making.
2. Logistics & Financial Coordination
Order Tracking: Raise Purchase Orders (POs) and aggressively follow up with vendors to ensure on-time delivery and quality compliance.
Accounts Payable Liaison: Partner with the Finance Department to track supplier invoices, resolve documentation discrepancies, and monitor payment statuses.
Quality Assurance: Act as the primary interface with suppliers to resolve issues regarding sub-standard materials or delivery delays.
3. Administrative Excellence & Compliance
Document Control: Maintain an impeccable filing system (physical and electronic) for procurement records, contracts, and internal correspondence.
Operational Logistics: Coordinate schedules, departmental meetings, and the inventory management of office consumables.
Audit Readiness: Serve as the custodian of records for internal and external audits, ensuring every procurement action has a transparent, compliant trail.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s degree in Supply Chain Management, Purchasing & Supply, Business Administration, or a related field.
Experience: 3–5 years of progressive experience in procurement or admin roles, preferably within Mining, Construction, Logistics, or Industrial sectors.
Technical IQ: Proficiency in Microsoft Office (Excel mastery is a plus); experience with ERP systems or dedicated procurement software is highly advantageous.
