Job Description:

We are seeking a high-caliber, systems-oriented Executive Assistant to serve as the operational "Command Center" for a principal with a diversified portfolio spanning Real Estate, Agriculture, Eco-Tourism, Climate Advocacy, and Technology.

This is not a routine administrative role. You will enter an existing support structure with the specific mission of enforcing discipline, improving documentation, and ensuring high-speed execution across multiple industries. We are looking for a Project Management specialist who lives by Gantt charts and execution dashboards—someone who can filter the noise and ensure only the most critical priorities reach the principal’s desk. If you are "street smart," tech-comfortable, and capable of resolving complex real-time issues without hand-holding, this role is for you.

Requirements:

1. Project Governance & Execution

  • The Execution Dashboard: Maintain real-time visibility into all project streams using Gantt charts and project management software (e.g., Asana, Trello, or ClickUp).

  • Deadline Enforcement: Act as the principal's "Enforcer," tracking tasks across various teams and ensuring that deadlines are met without compromise.

  • Site & Operations Management: Oversee project sites and operational hubs, ensuring that "boots on the ground" activities align with strategic timelines.

2. Strategic Coordination & Priority Management

  • Calendar Architecture: Manage a high-velocity calendar, prioritizing engagements based on the principal's "Diversified Interests" and filtering out non-essential requests.

  • Journey & Logistics Management: Coordinate complex local and international travel, including "Journey Management" for field visits to agricultural or eco-tourism sites.

  • Cross-Industry Liaison: Serve as the central point of contact between the principal and various project leads in Tech, Real Estate, and Climate Advocacy.

3. Documentation & System Integrity

  • Meeting Intelligence: Coordinate high-level meetings and produce rigorous documentation (Minutes of Meeting, Action Items, and Briefing Notes).

  • Confidentiality & Filing: Manage sensitive documentation with extreme discretion, ensuring that all records are structured for immediate retrieval.

  • Issue Resolution: Handle "sudden" operational crises in real-time, utilizing "street smarts" and logical reasoning to solve problems before they escalate.

Qualifications and Skills:

Professional Profile

  • Education: Bachelor’s Degree or higher.

  • Experience: 3 – 6 years in high-level executive or operations support. Experience supporting a principal with diversified business interests is a significant advantage.

  • Technical IQ: Strong project management capability; must be comfortable with digital project tools and execution dashboards.
