Job Description:
- The Executive Assistant to the CEO is a pivotal role providing high-level administrative, operational, and strategic support to the Chief Executive Officer.
- This individual will be a highly organized, proactive, and resourceful professional with exceptional communication and interpersonal skills.
- The Executive Assistant will act as a gatekeeper and point of contact between the CEO and internal/external stakeholders, ensuring the efficient and effective operation of the CEO's office and contributing to the overall success of the organization.
- The ideal candidate will be discreet, adaptable, and capable of handling a wide range of complex and confidential situations.
Requirements:
- scheduling meetings, appointments, and travel arrangements, resolving conflicts, and ensuring optimal time utilization.
- Communication Management: Serve as the primary point of contact for internal and external inquiries directed to the CEO, screening calls, responding to emails, and drafting correspondence on the CEO's behalf.
- Meeting Support: Prepare agendas, presentations, and meeting materials; attend meetings, take accurate minutes, and follow up on action items.
- Travel Arrangements: Coordinate all aspects of domestic and international travel, including flights, accommodations, ground transportation, visas, and itineraries, ensuring efficiency and cost-effectiveness.
- Document Preparation and Management: Prepare, edit, and proofread correspondence, reports, presentations, and other documents, ensuring accuracy and professional presentation. Maintain organized electronic and physical filing systems.
- Project Coordination: Assist the CEO with various projects and initiatives, conducting research, gathering data, tracking progress, and ensuring timely completion of deliverables.
- Gatekeeper and Liaison: Act as a liaison between the CEO and other executives, employees, clients, and external partners, fostering positive and professional relationships.
- Confidentiality: Handle highly confidential information with discretion and integrity.
- Office Management: Oversee the smooth functioning of the CEO's office, ensuring adequate supplies, equipment maintenance, and a professional environment.
- Expense Management: Process and track the CEO's expenses, ensuring accurate record-keeping and adherence to company policies.
- Personal Assistance (as required): Provide personal administrative support to the CEO, such as managing personal appointments or errands, with utmost discretion.
- Event Coordination: Assist in the planning and execution of company events, meetings, and conferences.
- Problem Solving: Proactively identify and resolve administrative and operational issues.
- Research and Information Gathering: Conduct research on various topics as requested by the CEO and present findings in a clear and concise manner.
- Special Projects: Undertake ad-hoc projects and assignments as directed by the CEO.
Qualifications and Skills:
- Bachelor's degree in Business Administration, Hospitality Management, or a related field preferred.
- Minimum of 2 years of experience as an Executive Assistant supporting senior-level executives, preferably within the hospitality industry.
- Exceptional organizational, time management, and prioritization skills with a proven ability to manage multiple tasks and deadlines effectively.
- Excellent written and verbal communication skills, with strong attention to detail and accuracy.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong interpersonal and diplomacy skills with the ability to interact professionally with individuals at all levels.
- Demonstrated ability to exercise sound judgment and discretion in handling confidential information.
- Proactive and resourceful with a strong problem-solving aptitude.
- Ability to work independently and as part of a team.
- Flexibility and adaptability to changing priorities and demands.
- Knowledge of the hospitality industry is a significant advantage.
