Job Description:
We are seeking a poised and highly organized Aesthetic Administrator to lead the front-line operations of our premium clinic in Abuja. This role is the perfect intersection of medical administration and luxury hospitality. As the first point of contact, you will be responsible for creating a seamless, high-end experience for our clients—from the initial inquiry to post-treatment follow-ups. You will manage complex scheduling, maintain clinical organization, and ensure that every patient feels valued and informed.
The ideal candidate has a refined professional presence, a background in wellness or healthcare, and the administrative discipline to keep a busy clinic running smoothly.
Requirements:
Patient Journey & Experience
Inquiry Management: Respond to all walk-in, telephone, and digital inquiries with professionalism and deep knowledge of our services.
Booking Coordination: Manage the clinic’s master schedule, ensuring optimal booking of consultations and treatments to maximize practitioner efficiency.
Client Retention: Coordinate follow-up calls and messages to ensure patient satisfaction and encourage repeat visits.
Administrative & Clinical Operations
Front Desk Excellence: Manage the daily operations of the reception area, ensuring a clean, welcoming, and luxurious environment.
Record Management: Maintain accurate and confidential patient records, ensuring all treatment consents and medical histories are up to date.
Reporting: Support the clinic’s operational goals by providing regular updates on booking trends and client feedback.
Digital Engagement & Support
Customer Engagement: Support the clinic’s social media presence by engaging with clients online and assisting with digital inquiries.
Operations Support: Assist the medical and management teams with administrative tasks as needed to enhance overall clinic efficiency.
Qualifications and Skills:
Experience & Background
Seniority: Minimum of two (2) years of experience in a similar role.
Sector Knowledge: Experience working in an aesthetic clinic, wellness center, private hospital, or luxury hospitality environment is essential.
Core Competencies
Administrative Skill: Excellent organizational ability with a knack for detail-oriented record-keeping.
Technical Proficiency: Fluent in Microsoft Office (Word, Excel) and experienced in using professional scheduling/booking systems.
Communication Mastery: Strong verbal and written communication skills with a focus on premium customer service.
