Job Description:

  • The Secretary plays a crucial role in providing administrative and clerical support to ensure the smooth and efficient operation of the office.
  • This position involves managing correspondence, scheduling appointments, maintaining records, and serving as a key point of contact for both internal and external communications.

 

Key Responsibilities

  • File Management: Manage and organize both physical and electronic office files, documents, and records for easy retrieval.
  • Communication Handling: Professionally handle incoming and outgoing calls, emails, and correspondence to maintain effective communication.
  • Appointment Scheduling: Schedule appointments and meetings, while maintaining executives’ calendars to optimize their time.
  • Document Preparation: Prepare letters, reports, memos, and other official documents to support business operations.
  • Meeting Minutes: Take accurate minutes during meetings and distribute them as required to ensure all stakeholders are informed.
  • Visitor Reception: Receive visitors and direct them appropriately, providing a welcoming environment.
  • Office Supplies Management: Maintain office supplies and place orders when necessary to ensure the office is well-equipped.
  • Bookkeeping Assistance: Assist with basic bookkeeping, data entry, and record updates to support financial operations.
  • Confidentiality Assurance: Ensure confidentiality of office and company information to protect sensitive data.
  • Administrative Support: Support other administrative tasks as assigned by management to enhance office efficiency.

Requirements:

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
  • Communication Skills: Strong written and verbal communication skills to interact effectively with various stakeholders.
  • Organizational Skills: Excellent organizational and time-management skills to manage multiple tasks efficiently.
  • Attention to Detail: A keen eye for detail and the ability to multitask in a fast-paced environment.
  • Professionalism: A professional appearance and attitude that reflects the company’s values

Qualifications and Skills:

  • Educational Background: Minimum of OND / HND / Bachelor’s Degree in Secretarial Studies, Business Administration, or a related field.
  • Experience: Proven experience as a Secretary or Administrative Assistant is preferred.

Salary

N70,000 - N80,000 / month
