Job Description:
- The Secretary plays a crucial role in providing administrative and clerical support to ensure the smooth and efficient operation of the office.
- This position involves managing correspondence, scheduling appointments, maintaining records, and serving as a key point of contact for both internal and external communications.
Key Responsibilities
- File Management: Manage and organize both physical and electronic office files, documents, and records for easy retrieval.
- Communication Handling: Professionally handle incoming and outgoing calls, emails, and correspondence to maintain effective communication.
- Appointment Scheduling: Schedule appointments and meetings, while maintaining executives’ calendars to optimize their time.
- Document Preparation: Prepare letters, reports, memos, and other official documents to support business operations.
- Meeting Minutes: Take accurate minutes during meetings and distribute them as required to ensure all stakeholders are informed.
- Visitor Reception: Receive visitors and direct them appropriately, providing a welcoming environment.
- Office Supplies Management: Maintain office supplies and place orders when necessary to ensure the office is well-equipped.
- Bookkeeping Assistance: Assist with basic bookkeeping, data entry, and record updates to support financial operations.
- Confidentiality Assurance: Ensure confidentiality of office and company information to protect sensitive data.
- Administrative Support: Support other administrative tasks as assigned by management to enhance office efficiency.
Requirements:
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
- Communication Skills: Strong written and verbal communication skills to interact effectively with various stakeholders.
- Organizational Skills: Excellent organizational and time-management skills to manage multiple tasks efficiently.
- Attention to Detail: A keen eye for detail and the ability to multitask in a fast-paced environment.
- Professionalism: A professional appearance and attitude that reflects the company’s values
Qualifications and Skills:
- Educational Background: Minimum of OND / HND / Bachelor’s Degree in Secretarial Studies, Business Administration, or a related field.
- Experience: Proven experience as a Secretary or Administrative Assistant is preferred.
