We are recruiting to fill the position below:
Job Description:
- The Personal Assistant (PA) to the Group Managing Director (GMD) serves as a highly trusted and proactive partner who supports both the professional and personal needs of the executive.
- This role demands exceptional organizational skills, discretion, and the ability to manage a dynamic and fast-paced schedule.
- In addition to traditional PA responsibilities, the role requires close supervision and coordination of activities across multiple companies owned by the GMD.
- The PA plays a critical role in ensuring seamless day-to-day operations, improved executive productivity, and alignment across all personal and business domains.
Responsibilities
- Manage and maintain the executive’s professional and personal calendar—scheduling meetings, appointments, social engagements, and family obligations.
- Serve as the primary liaison between the GMD and internal/external stakeholders across personal and professional matters.
- Coordinate business and personal travel itineraries, including flights, hotels, visas, and logistics.
- Respond to emails, calls, and messages on behalf of the executive, prioritizing time-sensitive communications.
- Prepare reports, presentations, correspondence, and other documents for meetings or external engagements.
- Run errands, arrange personal shopping, handle gifting, and manage lifestyle-related duties.
- Attend key meetings, document minutes, track action items, and ensure timely follow-up.
- Represent the GMD at meetings or engagements when requested, serving as a reliable proxy.
- Maintain a highly organized filing system for both professional and personal records.
- Manage confidential and sensitive information with utmost discretion.
- Oversee and coordinate the operations of all companies owned by the GMD, ensuring smooth communication between business units, monitoring performance updates, and aligning strategic directives.
- Plan and coordinate leadership summits, board meetings, and cross-company engagements.
- Liaise with executive leadership at each business to ensure reporting flows, operational metrics, and priority issues are escalated effectively.
- Supervise ongoing projects across the GMD’s companies, providing briefings and consolidating updates.
- Identify and drive operational improvements and cost efficiencies across administrative and logistical areas.
- Support financial tracking for both business and personal spending, including expense reporting and vendor payment follow-up.
- Be involved in all business units of the organization to ensure smooth collaboration and alignment.
- Provide companionship and support during extensive travel, business events, or personal trips as required.
- Perform any other duties that contribute to the executive’s efficiency, well-being, and organizational success.
Key Performance Indicators (KPIs)
- Evaluated Quarterly:
- Attitude to Work: Demonstrates a positive, solutions-focused mindset toward tasks and team collaboration.
- Calendar Management Efficiency: Manages scheduling without conflicts; proactively flags and resolves any clashes or time constraints.
- Communication Management: 90%+ of important communications are acknowledged/responded to within two hours.
- Meeting Preparation & Follow-Up: Agendas sent 24 hours in advance; minutes and action items distributed within 24 hours post-meeting.
- Travel & Errand Execution: 95%+ of business and personal travel and tasks executed on time and within budget.
- Discretion and Confidentiality: Maintains a 100% record of safeguarding private and sensitive information.
- Proactivity and Initiative: 90% of operational issues are resolved proactively, without requiring GMD involvement.
- Company Oversight & Reporting: Submits weekly and monthly reports from each company; ensures GMD is always updated on key performance and challenges.
- Cost Management: Identifies and implements at least 10% cost savings annually across administrative expenses.
- Staff Relationship & Performance: Maintains strong, professional relationships across internal teams; promotes collaboration and a respectful work culture.
- Task & Document Organization: Ensures all records, reports, and personal files can be retrieved within five minutes of request.
- Executive Efficiency & Delegation Impact: Reduces GMD’s personal task load by at least 80%; consistently enhances executive effectiveness.

Salary
