Job Description:

Executive Support:

  • Provide high-level administrative and operational support to the Executive Director.
  • Manage schedules, communications, meetings, and travel arrangements.
  • Draft correspondence, reports, and presentations with clarity and precision.
  • Act as liaison between the Executive Director and internal/external stakeholders.
  • Handle confidential information with utmost discretion and professionalism.
  • Anticipate the Executive Director’s needs and proactively address challenges.

 

Project Coordination:

  • Coordinate and track strategic projects, ensuring timelines, deliverables, and quality standards are met.
  • Oversee cross-functional collaboration across client and internal teams.
  • Develop project plans, maintain progress trackers, and ensure accountability across tasks.
  • Support in preparing proposals, project briefs, and client reports.
  • Organize and follow up on meetings, ensuring action items are completed.

 

Client & Business Support:

  • Support the Executive Director in managing key client relationships and business development activities.
  • Participate in client strategy sessions, document insights, and manage deliverables.
  • Assist in preparing client-facing materials such as decks, reports, and presentations.
  • Monitor project budgets, invoices, and timelines in collaboration with team leads.

 

Internal Operations:

  • Coordinate agency-wide initiatives, staff meetings, and internal communications.
  • Support recruitment, onboarding, and team engagement activities.
  • Maintain organized filing systems and administrative workflows.
  • Contribute to building efficient internal processes and documentation standards.

Work Structure:

  • This is a hybrid role. You will be required to work from our office in Surulere, Lagos, at least 3 days a week.
  • You may also be required to attend client meetings, events, or company engagements at designated venues as necessary.

Qualifications and Skills:

  • Bachelor’s Degree in Business Administration, Communications, Project Management, or related field.
  • 3–5 years of experience as an Executive Assistant, Operations Coordinator, or Project Manager (agency or consulting experience is an advantage).
  • Strong organizational, planning, and multitasking skills.
  • Excellent written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools (e.g., Trello, Asana, Notion).
  • Proven ability to handle sensitive and confidential information with integrity.
