Job Description:
We are seeking a sophisticated and proactive Executive Assistant to serve as the primary operational partner to our senior leadership. In this role, you are more than an administrative lead; you are the "gatekeeper" and "accelerator" who ensures our executive's time is optimized and their strategic priorities are met.
You will navigate a high-stakes environment, managing complex calendars, board-level communications, and international travel logistics with discretion and precision. This role is ideal for a professional who thrives on behind-the-scenes orchestration and possesses the emotional intelligence to manage diverse stakeholders on behalf of the executive office.
Requirements:
1. Executive Orchestration & Calendar Logic
Strategic Scheduling: Own the executive’s calendar, prioritizing high-value engagements while protecting time for deep work and strategic planning.
Logistics Mastery: Coordinate end-to-end travel itineraries and logistics, ensuring seamless transitions across time zones and meeting locations.
Meeting Governance: Prepare agendas, take high-fidelity meeting minutes, and track action items to ensure leadership decisions are executed across the organization.
2. Information Management & Communication
Document Architecture: Draft, edit, and proofread high-level reports, board presentations, and sensitive correspondence.
Inbound Triage: Manage executive emails and calls, responding on behalf of the leader and escalating critical issues with professional tact.
Confidentiality: Act as a trusted steward of sensitive information, maintaining absolute discretion in all internal and external interactions.
3. Stakeholder Liaison & Special Projects
External Relations: Act as the bridge between senior management and external stakeholders, partners, and Board members.
Project Support: Lead ad-hoc administrative projects and support organizational initiatives, ensuring they align with the executive’s vision.
Filing & Systems: Maintain advanced digital and physical filing systems that allow for the instantaneous retrieval of critical records.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s degree in a relevant field; a Master’s degree is highly desirable.
Experience: 3–5 years of core experience supporting Senior Management, C-Suite, or Board-level executives.
Sector IQ: Experience within non-profit organizations or supporting Board-level operations is a distinct advantage.
Core Competencies
Technical Mastery: Advanced proficiency in Microsoft Office 365 (Outlook, Teams, PowerPoint, Excel).
Communication: Refined verbal and written skills with a "zero-error" mindset.
Soft Skills: High emotional intelligence, ability to work independently, and a "solutions-first" approach to problem-solving.
Mobility: Must be travel-ready for regional or international executive support as needed.
