Job Description:
We are seeking a proactive and empathetic Client Relations & Billing Officer to serve as the primary link between our facility and our clients. This role is far more than a front-desk position; it is about building and fostering lasting relationships through efficient service, clear education on our offerings, and seamless financial processing. The ideal candidate will be the "face" of the brand, ensuring that every client feels heard and every administrative detail is captured with precision. Note: As we provide services for animals, the successful candidate must be comfortable working in close proximity to pets.
Requirements:
1. Client Journey & Education
Engagement & Support: Provide detailed education to clients regarding our products and services, ensuring they are well-informed to make the best decisions for their needs.
Proactive Scheduling: Manage accurate client documentation and the orchestration of appointments to ensure a smooth flow of traffic within the facility.
Issue Resolution: Act as the first point of contact for requests, redirecting them to the appropriate specialized departments while following through to ensure total client satisfaction.
2. Financial Administration & Billing
Transaction Management: Handle client billing and payment processing with high accuracy, ensuring all clerking duties are completed during the checkout process.
Accountability: Maintain rigorous financial records by submitting daily POS transaction slips and reconciliation reports to the accounts department every evening.
Data Integrity: Ensure that all client financial data and service history are updated in the system in real-time.
3. Operational Excellence
Cross-Departmental Synergy: Collaborate with medical or technical teams to provide a unified experience for the client and their animals.
Office Technology: Utilize the Microsoft Office suite to generate reports, maintain databases, and communicate professionally with stakeholders.
Qualifications and Skills:
Education & Experience
Academic Background: Graduate degree in any Social Science or a related field.
Proven Tenure: Minimum of 2 years of experience in a client relations, customer service, or front-office role.
Industry Specifics: Must be genuinely comfortable with animals, as the role involves daily interaction within an animal-care environment.
Core Competencies
Interpersonal Mastery: Exceptional social skills with the ability to build rapport quickly and handle difficult conversations with tact.
Communication: Excellent written and oral communication skills for professional clerking and client education.
Problem-Solving: A proactive mindset with the ability to resolve scheduling or billing discrepancies independently.
