Job Description:

We are seeking a proactive and highly organized Administrative Assistant to provide critical support to the Head of Professional Education and Training. This role is designed for a professional who excels at managing the daily operations of a fast-paced executive office while ensuring the seamless delivery of educational programs.

As an Administrative Assistant, you will be the "right hand" to the department head, managing schedules, digital communications, and documentation with clinical precision. This is an immediate-start opportunity for a candidate who combines a solid administrative background with a high degree of digital literacy and an interest in the professional training sector.

Requirements:

1. Executive & Operational Support

  • Direct Assistance: Manage the calendar, appointments, and daily administrative needs of the Head of Professional Education and Training.

  • Communication Management: Handle incoming digital and physical correspondence, ensuring timely responses and professional brand representation.

  • Resource Coordination: Assist in the logistical planning for training sessions, seminars, and professional workshops.

2. Digital Documentation & Information Flow

  • Advanced Word Processing: Create, format, and edit high-level reports, training manuals, and official correspondence using modern word processing packages.

  • Digital Literacy: Utilize internet services and web-based tools to research educational trends, manage cloud-based files, and support online training platforms.

  • Information Governance: Maintain a highly organized digital and physical filing system to ensure that training records and professional certifications are easily retrievable.

3. Training & Professional Liaison

  • Stakeholder Engagement: Act as a professional point of contact for students, trainers, and corporate partners, resolving inquiries with speed and courtesy.

  • Data Integrity: Track and update student enrollment data, professional credits, and department KPIs with a high degree of accuracy.

  • Meeting Governance: Prepare agendas, take detailed minutes during board or faculty meetings, and follow up on actionable items.

Qualifications and Skills:

Professional Profile

  • Education: Minimum of a Degree or HND in an administration-related discipline.

  • Experience: At least 2 years of practical experience in a similar administrative or office management role.

  • Start Date: Ability to commence work as soon as possible (Immediate Start).

Technical Skills

  • Software Mastery: Proficiency in Word Processing Packages (Microsoft Word) and general office productivity suites (Excel, PowerPoint).

  • Internet Proficiency: Basic general knowledge of Internet Services, including email management, cloud storage (Google Drive/OneDrive), and online research.

  • Editorial Accuracy: Strong attention to detail in grammar, spelling, and document formatting.
