We are recruiting to fill the position below:
Job Description:
- The core functions of Loss Prevention & Security Services Department revolve around protecting people, assets, and operations from both internal and external threats, as well as minimising losses due to theft, accidents, or security breaches.
- They ensure the organization maintains a secure, compliant, and safe environment, minimising losses and operational disruption.
- The Department Senior Officer to LP/SS Department will act as 2IC of HOD and take charge in the absence of HOD.
- Shall support the HOD in managing the Admin, Training and Land Recovery Units.
- Shall support the HOD to protect personnel, assets, and operations from threats, enforce access control, monitor for risks, respond to incidents, and ensure regulatory compliance.
- Shall provide administrative support to the department in Document management and processes, and training on departmental processes.
- The Department Senior Officer must maintain the highest level of integrity, demonstrate the I-REAP core values and be a contributor to the desired cultures, leading by example in all areas, and ensuring that line and staff are coordinated and kept abreast of corporate strategy and direction at all time.
Responsibilities
Operational and administrative support:
- Effective administrative services
- Custodian of internal systems, SOPs, process documents
- Manage document processing, registration, tracking and archival
- Manage departmental assets, work tools, facilities, etc.
Departmental Strategic Execution and Coordination:
- Ensure efficient support of execution of key initiatives of the HOD.
- Coordinate departmental collaboration on all admin matters within EZM and with corresponding departments in Client Companies.
- Ensure that business processes within the department are up to date.
Performance and Staff Management:
- Supervise the tasks assigned to the different HOUs and departmental team for effective closure.
- Facilitate relevant training on departmental processes, compliance requirements, and documentation and best practices for operation.
- Support the HOD in appraising staff of the department, provide mentorship/guidance to new staff and drive continuous improvement in staff performance.
- Shall be responsible staff training and retraining.
Reporting and Compliance:
- Collate, compile and provide operational report to the HOD for review and submission to the EC.
- Maintain all compliance lists and requirements, ensuring effective monitoring and timely escalation to achieve 100% compliance.
Business Continuity and Succession Planning:
- Act as 2IC to HOD and take charge in the absence of the HOD.
- Support in managing any unit or departmental function of any exited staff, by ensuring that each position has a replacement at any given time from internal resource pending replacement.
- Ensure that proper handover is done and all company tools are retrieved
- Ensure that staff functions are rotational so that anyone at any given time anyone can cover all roles.
- Collaborate with HOD to organise departmental level on boarding of new hires, including provision of all tools, systems and work requirements.
Requirements:
- A Bachelor’s degree in Criminology, Security Studies, Public Administration, or any other relevant discipline is required.
- Possession of professional certifications related to security management or risk control—such as Certified Protection Professional (CPP), Physical Security Professional (PSP), or Certified Security Management Professional (CSMP)—is highly desirable.
- A postgraduate qualification (e.g., MBA, MSc in Security Studies, or Public Administration) will be considered an added advantage, particularly for roles involving high-level coordination and strategic oversight
Minimum Years of Experience:
- A minimum of 5 years professional experience in an administrative, security coordination, or office management role, with at least 3 years in a supervisory or security-focused administrative position.
- Prior experience working in a security department, loss prevention unit, facility protection team, or corporate risk and compliance environment is essential.
Technical and Administrative Skills:
- Security report and incident documentation handling, including accurate filing and archiving of surveillance logs, incident reports, and investigation records.
- Office administration and operational coordination, including supplies management, scheduling, and support for security staff logistics.
- Incident and case file organization, ensuring timely updates, proper categorization, and secure storage of sensitive records.
- Professional communication and report writing, such as drafting security memos, investigation summaries, alerts, and departmental correspondence.
- Calendar and response schedule management, including patrol schedules, shift rosters, incident follow-ups, and deadline tracking for compliance reporting.
- High level of confidentiality and discretion, particularly in managing sensitive security matters and confidential personnel or operational data.
- Familiarity with security protocols, procedures, and terminology, including risk assessments, access control, and emergency response planning.
- Proficiency in Microsoft Office Suite, especially Word, Excel, Outlook, and PowerPoint for reporting and documentation.
- Experience with security or incident management software (e.g., Trackforce Valiant, Silvertrac, Guardso, or in-house incident tracking systems) is an added advantage.

- Capacity to serve as Second-in-Command (2IC) to the Head of Security and oversee departmental operations, daily coordination, and strategic priorities in their absence.
- Ability to step into any security administrative function (e.g., incident logging, patrol scheduling, access control reporting, asset monitoring, compliance tracking) to ensure smooth and uninterrupted operations during staffing gaps.
- Readiness to support the onboarding of new security personnel, ensure access to uniforms, communication tools, reporting templates, and orientation materials, and help coordinate internal administrative training.
- Competence in maintaining compliance checklists, audit schedules, and security procedure timelines, ensuring adherence to internal protocols and external regulatory standards, and promptly flagging operational or compliance risks.
- Ability to coordinate effectively with Client Companies, security vendors, facility managers, auditors, and internal departments on security-related administrative matters, documentation, compliance audits, and performance reporting.
Governance & Baseline Competencies:
- Reporting: The department senior officer shall report directly to the HOD of the department & collaborate with ECSEC Admin on all admin related matters.
- Admin Structure: The department senior officer shall be considered as Intermediate Senior Management.
- Baseline Competencies: Shall have understanding of document management principles, understanding of project management, ability to prepare and present management reports and understanding of departmental operations.
