Job Description:
- We are looking for a highly dedicated and proactive Office Operations Assistant to serve as the operational "heartbeat" of our eye clinic. This role is designed for a person of ownership—someone who treats the clinic like their own business.
- As the primary custodian of our workspace, you will be responsible for eliminating operational friction, managing facility readiness, and ensuring that doctors and patients enter a seamless, professional environment every single day.
Key Responsibilities
Facility Management & Environment:
- Maintain a spotless clinical environment by personally handling the cleaning and sanitization of the office, waiting room, and clinical spaces.
- Conduct daily pre-opening checks of the generator, water supply, and electrical fittings to ensure zero downtime.
- Ensure the clinic is fully prepared and welcoming before the first patient arrives.
Inventory & Supply Chain Control:
- Track inventory (lenses, frames, and medical supplies) with calculative precision using spreadsheets or ledgers.
- Proactively manage vendor relationships to secure the best value for clinic purchases.
- Monitor stock levels to ensure replacements are ordered well before items run out.
Administrative Support:
- Organize and manage patient files and administrative paperwork for instant retrieval.
- Provide real-time operational updates to management via WhatsApp and maintain detailed maintenance logs.
- Utilize "calculative" thinking to identify ways to reduce operational waste and unnecessary spending.

- 100% Uptime: The clinic never closes or turns away a patient due to environment, facility, or supply issues.
- Perfect Records: Inventory and files are kept so organized that an audit can be performed at a moment’s notice.
- Zero Waste: Significant reduction in supply spoilage and operational overspending through careful tracking.
