Job Description:
GAIN is seeking a highly organized and proactive Logistics Assistant to join our Abuja team. In this role, you will be responsible for supporting the end-to-end logistics and procurement operations of the country office. From coordinating complex transportation schedules to managing vendor relationships and ensuring transparent procurement, your work will be essential to the smooth execution of our programs.
The ideal candidate will have hands-on experience in a structured professional environment, ideally within the international NGO sector, and a commitment to maintaining the high standards of documentation and accountability required for donor-funded projects.
Requirements:
Logistics & Transportation Coordination
Staff Movement: Plan and coordinate inbound and outbound travel for staff, including managing airport pickups, drop-offs, and car transport services within and outside of Abuja.
Fleet Oversight: Communicate daily with drivers regarding routes and schedules, monitoring vehicle usage, trip logs, and basic compliance checks.
Event Support: Facilitate logistical arrangements for conferences and workshops, ensuring all venue and equipment needs are met.
Procurement & Vendor Management
Sourcing: Support market surveys and vendor due diligence to assist in procurement planning and budgeting.
Documentation: Prepare requests for quotations (RFQs), bidding documents, evaluation reports, and contract agreements.
Database Management: Update and maintain supplier information, including quality assessments, product ranges, and price catalogues.
Transaction Processing: Complete Purchase Orders (POs) and ensure timely payment processing for logistical services in collaboration with the finance team.
Inventory & Asset Management
Asset Tracking: Support the management and physical verification of organizational assets.
Records Maintenance: Maintain accurate documentation systems and logistics databases to ensure all goods are managed, tracked, and recorded.
Dispatch: Coordinate delivery schedules with transport providers to ensure timely arrival of goods.
Qualifications and Skills:
Experience:
Hands-on experience in logistics and procurement within a structured, professional environment.
Desirable: Prior experience with international NGOs and familiarity with donor-funded projects (e.g., USAID).
Technical Skills:
Proficiency in Microsoft Office Suite is required.
Comfortable using procurement and inventory management software.
Strong understanding of end-to-end supply chain processes and transparent bidding.
