Job Description:
We are seeking an exceptionally organized, highly articulate, and fiercely proactive Executive Assistant & Operations Coordinator to provide high-level administrative support to executive management and synchronize multi-departmental projects. This is not a passive secretarial position; it is a high-visibility, cross-functional operational role tailored for an ambitious coordinator with elite business writing, stakeholder management, and project tracking capabilities.
Serving as the central operational bridge between management, internal teams, and elite corporate partners, you will protect executive bandwidth by managing calendars and tracking deliverables. Concurrently, you will drive business growth by supporting membership registration funnels, drafting persuasive corporate sponsorship proposals, and coordinating high-profile professional training events, investitures, and seminars.
Requirements:
1. High-Level Executive Support & Strategic Administration
Bandwidth Guardianship: Manage executive schedules, corporate calendars, international appointments, and critical reminders, ensuring executive time is fiercely optimized and protected.
Governance Documentation: Formulate comprehensive meeting agendas, take detailed minutes, extract actionable task points, and systematically follow up with team leads to ensure full completion of executive directives.
Elite Business Writing: Draft, proofread, and format institutional correspondences—including executive emails, official letters, policy memos, board reports, speeches, and high-stakes corporate proposals.
Data Hygiene & Confidentiality: Maintain immaculate physical and digital filing frameworks. Handle sensitive corporate information, financial logs, and member records with absolute discretion and professional ethics.
2. Project Management & Multi-Departmental Coordination
Timeline Architecture: Coordinate, monitor, and map out timelines and deadlines for specialized training tracks, academic programs, international conferences, and institutional publications.
Stakeholder Synchronization: Serve as the primary, polished point of contact, orchestrating seamless communication and workflows between executive management, consultants, facilitators, vendors, and corporate partners.
Risk Identification: Actively manage internal task-trackers, generating weekly progress updates for management, while proactively identifying, flagging, and escalating operational delays early.
3. Sales, Marketing & Membership Growth Support
Enrollment & Acquisition Funnels: Support the institute's commercial growth by identifying, tracking, and engaging prospective individual and corporate members, tracking training registrations, and driving corporate sponsorship campaigns.
Lead Tracking & Database Stewardship: Maintain precise, updated databases of active members, prospects, sponsors, and key sectoral stakeholders.
Campaign & Content Coordination: Support the Brand Manager by reviewing marketing copy, event publicity campaigns, and newsletter distributions to preserve institutional credibility.
Sectoral Market Research: Conduct foundational market intelligence and competitor analysis within the logistics, courier, transport education, and professional certification landscapes to optimize pricing and program positioning.
4. Event Coordination & Institutional Operations
End-to-End Event Logistics: Support the physical execution of corporate seminars, investitures, annual conferences, and professional induction ceremonies—managing registrations, attendance metrics, and badge verifications.
Cross-Functional Backup: Step in dynamically to anchor operations across administration, membership welfare, and facilitator coordination, ensuring no critical institutional task is left unattended.
Qualifications and Skills:
Education & Academic Foundation
Degree: Bachelor’s Degree or equivalent qualification in Business Administration, Management Sciences, Mass Communication, Marketing, Logistics, or Transport Management from an accredited tertiary institution.
Experience & Proven Track Record
Professional Longevity: Minimum of 2 to 4 years of progressive, verifiable experience operating as an Executive Assistant, Administrative Officer, Project Coordinator, Business Development Assistant, or Program Officer.
Sector Footprint: Directly verifiable experience working within a professional membership institute, training academy, consulting firm, or a corporate logistics/courier enterprise will be treated as a major competitive advantage.
