Job Description:
We are seeking a highly organized, proactive, and discreet Executive Assistant (EA) to provide high-level strategic and administrative support to the Executive Director. Based in Port Harcourt, this role is a mission-critical position designed for a professional who can act as an extension of the ED, ensuring that the office operates with maximum efficiency and total confidentiality.
As the EA-ED, you will be more than a coordinator; you will be a gatekeeper and a liaison between the Executive Director and internal/external stakeholders. This role requires a "forward-thinking" mindset—someone who can anticipate needs before they arise and manage the ED’s most valuable resource: time. Requirements:
1. Executive Orchestration & Gatekeeping
Calendar & Travel Command: Manage the ED’s complex schedule, prioritizing appointments and coordinating intricate local and international travel logistics.
Stakeholder Liaison: Act as the primary point of contact for staff, high-level clients, and external partners, ensuring all interactions align with the ED's professional standards.
Action Tracking: Monitor deadlines and follow up on action points from executive meetings to ensure company-wide accountability.
2. Technical Documentation & Strategic Support
Advanced Correspondence: Prepare, edit, and manage high-stakes reports, legal documents, and financial presentations with absolute precision.
Meeting Governance: Attend executive meetings, record accurate minutes, and translate discussions into actionable task lists for relevant departments.
Specialized Support: Provide administrative assistance for HR, Legal, or Financial documentation, leveraging your technical background to ensure accuracy and compliance.
3. Information Security & System Management
Confidentiality: Handle sensitive corporate and personal information with the highest level of discretion and ethical integrity.
Records Governance: Organize and maintain sophisticated electronic and physical filing systems that allow for rapid, secure data retrieval.
Operational Agility: Solve logistical bottlenecks and manage ad-hoc projects independently, allowing the ED to focus on core strategic growth.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Law, Business Administration, Accounting, Human Resources, or a related management field.
Experience: 2–3 years of experience in an executive support or similar high-level administrative role.
Gender: Male (strictly for gender balancing within the current leadership structure).
Location: Must be resident in or willing to relocate to Port Harcourt.
Technical & Personal IQ
Advantageous Background: Prior experience in Legal, HR, or Accounting is highly preferred and will be viewed as a significant asset.
Software Mastery: Proficiency in Microsoft Office Suite (advanced Excel and PowerPoint) and digital productivity tools.
Communication: Exceptional verbal and written communication skills with a refined professional polish.
