We are recruiting to fill the position below:
Job Description:
- Collaborate with various departments, including sales, legal, and finance, to gather the necessary information and documentation required for tender submissions.
- This may involve reviewing tender specifications, analyzing client requirements, and identifying key deliverables.
- Compile all the necessary documents, including technical specifications, pricing details, project plans, and other supporting materials, to create a comprehensive tender proposal.
- Ensure that all documents are accurate, complete, and submitted within the specified deadlines.
- Coordinate the submission of tender proposals, both electronically and physically, ensuring compliance with all tender requirements and formatting guidelines.
- Maintain a tracking system to record and monitor all submissions and their respective deadlines.
- Assist in the evaluation of tender submissions by organizing evaluation meetings, preparing evaluation reports, and supporting the tender evaluation committee in their decision-making process.
- Collaborate with internal stakeholders to address any clarifications or queries raised during the evaluation phase.
- Collaborate with the legal and procurement teams to support contract negotiations with clients or external vendors.
- Review and analyze contract terms and conditions, identify any potential risks, and ensure compliance with company policies and legal requirements.
- Maintain a comprehensive database of tender documents, templates, and previous submissions for future reference and knowledge sharing.
- Continuously update the database with new tenders, amendments, or modifications.
- Developing a Data Base for Pricing Purposes.
- Conduct market research to identify potential tender opportunities, monitor industry trends, and gather intelligence on competitors' bidding strategies.
- Stay updated with relevant regulations, policies, and procurement practices that may impact the tendering
- process.
- Develop and maintain relationships with key stakeholders, including clients, vendors, and internal teams, to facilitate effective communication and collaboration during the tendering process.
- Identify areas for process improvement within the tendering function and propose strategies to enhance efficiency, quality, and success rates.
- Regularly analyze tender outcomes, solicit feedback, and implement lessons learned for future submissions.
- Ensure compliance with all relevant laws, regulations, and company policies throughout the tendering process.
- Maintain accurate records of all tender-related activities, correspondence, and documentation.
Requirements:
- Bachelor's Degree in Quantity Surveying, Engineering, Management, or similar.
- Minimum of 10 years experience.
- Relevant professional certification will be an added advantage.
- Previous experience in a similar role in the Oil and Gas sector will be an added advantage.
- Able to work productively independently and as part of a team.
- Must have excellent analytical thinking skills and problem-solving abilities.
- Should exhibit strong organizational and time management abilities.
- Excellent negotiating and interpersonal skills.
