Job Description:

We are seeking a meticulous and professional Office Secretary to provide high-level administrative support to our Audit and Tax teams. This role is central to our office operations, ensuring seamless communication between our firm, our clients, and regulatory bodies. You will be responsible for the professional presentation of financial reports and the secure management of sensitive client documentation.

Requirements:

Professional Document Processing

  • Report Finalization: Assist in the advanced formatting, printing, and binding of Audit Reports, Financial Statements, and formal Tax Letters.

  • Correspondence: Draft and proofread high-stakes emails and memos to regulatory authorities such as the LIRS and FIRS.

  • Quality Control: Maintain a "zero-tolerance" policy for typographical errors in all financial and legal documents.

Front Desk & Client Relations

  • Professional Reception: Act as the first point of contact for clients, managing the office switchboard and in-person inquiries with extreme professionalism.

  • Corporate Image: Ensure the reception area reflects the firm's standards and manage the firm’s master calendar to avoid scheduling conflicts.

Records Management & Archiving

  • Organized Filing: Maintain a highly secure and systematic physical and digital filing system for sensitive financial records.

  • Information Retrieval: Ensure auditors and partners can quickly retrieve client data for ongoing audits and tax filing deadlines.

Office Logistics & Petty Cash

  • Operational Support: Monitor office inventory and supplies to prevent downtime.

  • Financial Upkeep: Manage petty cash for daily office expenses and maintain accurate records of miscellaneous spending.

Qualifications and Skills:

  • Education: OND, HND, or B.Sc. in Office Technology Management (OTM), Secretarial Studies, Business Administration, or a related field.

  • Experience: 0–3 years of experience (Entry-level candidates with strong internships are welcome to apply).

  • Technical Proficiency: * Advanced knowledge of Microsoft Word (Styles, Table of Contents, Layouts).

    • Proficient in Microsoft Excel and digital archiving tools.

    • High typing speed with a focus on accuracy.

  • Core Competencies:

    • Exceptional command of written and oral English.

    • High level of discretion and integrity when handling confidential financial information.

    • Strong organizational skills and the ability to work under pressure during "tax season."

 

Salary

N100,000 - N150,000 per month.
