Job Description:
We are seeking a high-velocity and intellectually elite Office Secretary to anchor our administrative engine in Abuja (FCT). In a high-stakes corporate environment, success is defined by "Information Sovereignty", the ability to harmonize multi-channel communication (telephony, mail, and in-person) with the clinical precision required for schedule management, document governance, and absolute confidentiality. This role is designed for an "Administrative Architect" with 2–5 years of experience who can blend "Clerical Grit" (scanning, filing, and inventory management) with the "Diplomatic Agility" required to coordinate between management, sub-offices, and global partners.
Requirements:
1. Information Orchestration & Mail Governance
Communication Sovereignty: Act as the primary "Source of Response" for telephone calls and email inquiries, ensuring all external stakeholders receive high-fidelity information.
Dispatch Architecture: Follow up on all outgoing mail and items with clinical precision, ensuring a "Zero-Error" confirmation of receipt by the target receiver.
Inbound Stewardship: Receive and organize all documents and items from sub-offices and partners, acting as the centralized "Source of Intake" for the Abuja headquarters.
2. Administrative Resilience & Document Logic
Record Sovereignty: Perform high-speed administrative tasks—including filing, scanning, and photocopying—ensuring every document acts as a "Source of Accessibility" for the team.
Confidentiality Governance: Maintain millimetric standards of privacy for all office files and records, ensuring the organization’s "Data Integrity" is never compromised.
Supply Architecture: Monitor and ensure the availability of office supplies, preventing any "Operational Friction" due to stockouts of essential materials.
3. Schedule Diplomacy & Management Support
Meeting Sovereignty: Schedule and coordinate high-stakes meetings between management and partners/clients, ensuring the "Executive Calendar" is synchronously aligned with business goals.
Digital Agility: Utilize MS Word, Excel, and PowerPoint with clinical speed to prepare reports, presentations, and spreadsheets that serve as the "Analytical Foundation" for office tasks.
Workflow Logic: Maintain a proactive approach to time management, utilizing modern tools to ensure all administrative deadlines are met with 100% accuracy.
Qualifications and Skills:
Professional Profile
Education: Candidates should possess an HND or Bachelor's Degree in Secretarial Studies, Business Administration, or a related field.
Experience: 2–5 years of robust work experience in an administrative or secretarial capacity.
Technical Mastery: Strong knowledge of Computer applications, specifically MS Word, Excel, and PowerPoint.
