Job Description:

  • The Office Assistant is responsible for providing administrative and clerical support to ensure the efficient operation of the office.
  • The role involves handling office correspondence, maintaining records, coordinating meetings, managing office supplies, supporting project documentation, and assisting various departments to facilitate smooth day-to-day operations within the interior design company.

Key Responsibilities

  • Receive, sort, and distribute incoming mails, documents, and correspondence.
  • Maintain organized filing systems for project documents, contracts, invoices, and company records.
  • Assist in preparing reports, letters, memos, meeting minutes, and other administrative documents.
  • Manage office supplies and ensure adequate stock levels of stationery and consumables.
  • Welcome visitors, clients, and vendors, directing them appropriately.
  • Answer and route phone calls, emails, and inquiries professionally.
  • Schedule meetings, appointments, and conference room bookings.
  • Assist in coordinating staff travel arrangements and logistics when required.
  • Support project teams with document management, printing, photocopying, scanning, and filing.
  • Monitor office cleanliness and coordinate maintenance needs with relevant service providers.
  • Maintain records of office assets and equipment.
  • Assist the HR and Accounts departments with administrative tasks as assigned.
  • Ensure compliance with company administrative procedures and policies.
  • Perform other duties as assigned by Management.

Requirements:

  • Minimum of SSCE, OND, HND, or Bachelor's Degree in Business Administration, Office Management, Secretarial Studies, or a related field.
  • 1–3 years of experience in an administrative or office support role.
  • Experience in a construction, interior design, or professional services environment is an added advantage.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Strong organizational and record-keeping skills.
  • Good verbal and written communication skills.
