Job Description:
We are seeking a proactive and empathetic Office Assistant to serve as the operational heartbeat of our busy eye care practice. You are the first face our patients see and the primary voice they hear, making you a vital part of their vision care journey.
Your mission is to ensure that the clinic runs like clockwork. From managing the flow of appointments to the technicalities of insurance verification, you will provide the administrative backbone that allows our optometrists to focus on patient health. Requirements:
1. Patient Experience & Front-Desk Governance
The Welcome Experience: Warmly greet patients and manage the end-to-end check-in/check-out process, ensuring a smooth transition from the waiting area to the exam room.
Appointment Stewardship: Manage a dynamic clinic schedule, answering calls and booking appointments to maximize doctor efficiency while minimizing patient wait times.
Patient Advocacy: Serve as a helpful guide for patients, answering general inquiries about clinic services and procedures with clarity and care.
2. Financial & Insurance Administration
Insurance Verification: Rigorously verify patient insurance coverage prior to appointments to ensure eligibility and prevent billing delays.
Revenue Processing: Handle daily financial transactions, including processing co-pays and payments with 100% accuracy.
Billing Documentation: Ensure all billing-related paperwork is correctly filed and reconciled at the end of each business day.
3. Information Management & Clinic Support
Record Integrity: Maintain accurate, up-to-date, and confidential patient records (Electronic Medical Records) in compliance with healthcare privacy standards.
Operational Assistance: Provide general administrative support, including filing, scanning, and managing office supplies to keep the clinic "exam-ready."
Coordination: Act as a liaison between patients and clinical staff to ensure that medical records and referrals are handled promptly.
Qualifications and Skills:
Professional Profile
Education: High school diploma or equivalent.
Experience: Previous experience in Customer Service is preferred. Experience in a Medical or Eye Care setting is a major asset.
Tech Stack: Basic computer proficiency (Experience with EMR/EHR software is a plus).
Core Competencies
Communication: Strong verbal and written skills for professional phone and in-person interactions.
Organization: The ability to multitask in a fast-paced clinical environment without losing attention to detail.
Empathy: A patient-first mindset, especially when dealing with elderly patients or those with vision challenges.
