Job Description:

We are seeking a warm, organized, and professionally poised Front Desk Officer to anchor the entrance of our pediatric hospital. In a healthcare setting dedicated to children, success is defined by "Anxiety Mitigation", the ability to provide a calm, efficient, and welcoming environment for both young patients and their concerned parents. This role is designed for a "Patient Experience Advocate" with 1–2 years of experience who can blend "Meticulous Administrative Accuracy" with the "Empathy" required to manage a busy reception area.

Your mission is to ensure "Seamless Patient Entry and High-Fidelity Clinical Support." You will be the primary face of the hospital: responsible for orchestrating the check-in process, managing the digital appointment ecosystem, and maintaining a child-friendly atmosphere. If you possess "Multitasking Grit," proficiency in Microsoft Office, and a natural ease with children, we want you to drive our excellence in service.

Requirements:

1. Patient Access & Registration Governance

  • First-Contact Advocacy: Welcome patients and visitors with a high degree of professionalism, ensuring that the first point of contact sets a positive tone for the clinical visit.

  • Registration Integrity: Manage the end-to-end patient check-in process, ensuring that all demographic and insurance information is captured accurately in the hospital database.

  • Appointment Orchestration: Schedule and confirm medical appointments, managing the clinical calendar to minimize wait times and optimize patient flow.

2. Administrative Logistics & Communication

  • Inquiry Management: Act as the central communications hub, answering and directing phone calls with speed and ensuring that medical inquiries reach the appropriate personnel.

  • Record Stewardship: Maintain and update patient records, ensuring that physical and digital files are organized and handled with strict confidentiality.

  • Workflow Support: Handle all incoming and outgoing correspondence and provide general administrative assistance to the medical team during peak periods.

3. Environment & Experience Management

  • Pediatric Atmosphere Control: Ensure the reception and waiting areas are not only organized but also "child-friendly," creating a space that reduces the stress of a hospital visit for young patients.

  • Public Relations Diplomacy: Address concerns from parents or guardians with patience and politeness, acting as a bridge between the clinical staff and the public.

Qualifications and Skills:

Professional Profile

  • Education: Minimum of an OND, HND, or Bachelor’s Degree in any related field.

  • Experience: 1–2 years in a similar administrative role. (Previous experience in a hospital or clinic environment is a major advantage).

  • Technical Mastery: Proficiency in basic computer applications, specifically Microsoft Word, Excel, and Outlook.

  • Interpersonal Grit: Ability to remain calm and polite under pressure, especially when dealing with stressed parents or crying children.

  • Organizational Mastery: Strong multitasking skills to handle phone calls, walk-ins, and data entry simultaneously.
