Job Description:
The Front Desk Executive / Receptionist serves as the first point of contact for all visitors, clients, and staff, representing the company with professionalism and warmth. This role is responsible for delivering excellent customer service, managing front desk operations, and supporting administrative functions to ensure smooth and efficient office operations.
Key Duties & Responsibilities
Greets and welcomes guests in a courteous and professional manner.
Manages the front desk by answering calls, responding to emails, and directing inquiries to the appropriate departments.
Maintains a clean, organized, and well-presented reception area stocked with necessary materials such as brochures, forms, and stationery.
Registers and logs all visitors, issues visitor badges, and ensures adherence to security protocols.
Handles all incoming and outgoing correspondence, including emails, parcels, and letters.
Maintains and updates appointment calendars as well as meeting room schedules.
Assists with basic clerical duties, including data entry and document preparation.
Coordinates internal communication and supports departmental requests when necessary.
Enforces office rules, guest policies, and visitor procedures.
Requirements:
Minimum of a Bachelor’s Degree in Business Administration, Secretarial Studies, or a related field.
Proven experience of 3–6 years in a front desk, receptionist, or similar administrative role.
Excellent verbal and written communication skills with strong interpersonal abilities.
Friendly and approachable personality with a strong customer service orientation.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to multitask, stay organized, and maintain professionalism in a fast-paced environment.
Good dress sense with a confident and welcoming presence.
