Job Description:
We are seeking a high-caliber Front Desk & Administrative Officer to serve as the face of our organization and the anchor of our daily operations. In this role, you are much more than a receptionist; you are a brand ambassador who ensures that every visitor, client, and executive experience is seamless and professional. You will balance the art of high-level hospitality with the rigor of administrative support, including direct assistance to the Managing Director. Requirements:
1. Professional Reception & Guest Relations
Brand Ambassadorship: Greet and attend to all visitors and clients with a high degree of courtesy, ensuring the company’s professional image is upheld at all times.
Communication Hub: Manage the switchboard, general email inquiries, and incoming correspondence, ensuring information is filtered and directed to the correct departments with zero delay.
Environment Management: Maintain a pristine, welcoming, and organized reception area that reflects the organization's standards of excellence.
2. Executive & Administrative Support
MD Liaison: Coordinate complex appointments, meetings, and sensitive schedules for the Managing Director, ensuring they are prepared for daily engagements.
Clerical Oversight: Execute essential administrative duties, including high-accuracy filing, digital record-keeping, and general office support.
Logistics Coordination: Manage the movement of documents and parcels, ensuring all incoming and outgoing mail is tracked and delivered promptly.
3. Security & Operational Compliance
Access Control: Maintain meticulous visitor logs and ensure all guests adhere to the company's security protocols and identification requirements.
Resource Tracking: Monitor office supplies for the front desk area and initiate requisitions to ensure continuous operational flow.
Qualifications and Skills:
Professional Background
Education: Minimum of OND, HND, or B.Sc. in Business Administration, Public Administration, or a related field.
Experience: 1–3 years of proven experience in a front desk, receptionist, or administrative support role.
Tech Literacy: Proficiency in Microsoft Office Suite (Word for documentation, Excel for logs, and Outlook for professional scheduling).
Core Competencies
Presence: Exceptionally presentable and well-spoken with a professional demeanor.
Communication: Superior interpersonal skills; able to interact with everyone from casual callers to high-level executives.
Organizational Grit: Ability to multitask—managing a busy phone line while attending to a physical guest without losing poise.
Problem Solving: Ability to handle inquiries and resolve minor logistical issues independently.
