Job Description:
We are seeking a high-caliber and diplomatically sharp Executive Secretary to anchor our senior leadership operations in Abuja and Kano. In a high-stakes corporate or public sector environment, success is defined by "Administrative Fluidity", the ability to shield executive time while ensuring all operational, logistical, and communication flows are executed with millimetric precision. This role is designed for a "Strategic Gatekeeper" with 3–5 years of experience who can blend "Executive Presence" with the "Operational Grit" required to manage complex calendars and high-level stakeholder relations.
Your mission is to ensure "Absolute Executive Productivity and Confidentiality." You will be the primary engine for the executive office: responsible for orchestrating high-level meetings, preparing high-fidelity reports, and acting as a professional liaison between the leadership team and internal/external partners. If you possess "Exceptional Organizational Skills," a mastery of the Microsoft Office Suite, and the "Discretion" required to handle sensitive information, we want you to drive our administrative sovereignty.
Requirements:
1. Executive Orchestration & Calendar Governance
Time Stewardship: Proactively manage senior executive calendars, prioritizing high-value meetings and protecting "Deep Work" windows.
Logistics Sovereignty: Coordinate end-to-end travel arrangements, including visa processing, flight itineraries, and accommodation, ensuring zero friction in executive movement.
Meeting Governance: Lead the preparation for executive meetings, including the distribution of agendas, the capture of high-fidelity minutes, and the tracking of action items.
2. Communication & Information Architecture
Correspondence Mastery: Prepare professional correspondence, executive summaries, and high-impact reports that reflect the brand's tone of voice.
Digital Diplomacy: Handle incoming calls, emails, and general inquiries with a professional and welcoming demeanor, serving as the first point of contact for the executive office.
Record Sovereignty: Maintain a "Perpetual Audit-Ready" state for all office records, files, and documentation, utilizing both physical and digital archiving systems.
3. Office Operations & Stakeholder Synergy
Workflow Coordination: Liaise with internal departments and external partners to ensure cross-functional projects are moving in alignment with executive directives.
Operational Oversight: Assist with general office management and logistics, ensuring the executive suite is always primed for high-level visitor reception.
Discretionary Governance: Handle sensitive business and personal information with absolute confidentiality and ethical integrity.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s degree in Business Administration, Secretarial Studies, or a related field. An MBA or Master’s degree is a distinct advantage for this seniority level.
Experience: 3–5 years of robust experience in an Executive Secretary or Senior Administrative role, preferably in a corporate or diplomatic setting.
Technical Mastery: High proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint) and modern office productivity tools.
