Job Description:

  • We are seeking a highly skilled and organized Executive Assistant to provide administrative support to our Director.
  • As an integral member of the leadership team, you will be responsible for ensuring the smooth operation of the Director's office, managing complex calendars, and facilitating communication across the organization.
  • This role requires exceptional attention to detail, excellent communication skills, and the ability to work in a fast-paced environment.

Duties & / Responsibilities
Calendar Management:

  • Coordinate and manage the Director's calendar, ensuring timely scheduling of meetings, appointments, and events.
  • Make travel arrangements, including booking flights, hotels, and rental cars.
  • Prepare and distribute meeting materials, agendas, and minutes.

Communication:

  • Handle incoming and outgoing correspondence, including emails, letters, and faxes.
  • Prepare and send communications on behalf of the Director, including reports, presentations, and other materials.
  • Liaise with internal stakeholders, external partners, and vendors to resolve issues and provide information.

Administrative Support:

  • Manage the Director's expense reports, travel documentation, and other administrative tasks.
  • Maintain accurate and up-to-date records, including databases and filing systems.
  • Provide support for special projects, including data collection, research, and analysis.

Problem-Solving and Initiative:

  • Anticipate and resolve problems, escalating complex issues to the Director as needed.
  • Take initiative to identify areas for improvement and implement process enhancements.
  • Develop and maintain relationships with key stakeholders to support the Director's work.

Discretion and Confidentiality:

  • Handle sensitive and confidential information with discretion and professionalism.
  • Maintain confidentiality of organizational matters, including personnel issues and business strategies.

Requirements:

  • Bachelor's degree or equivalent experience. 
  • Experience working in a similar industry or with a senior executive team.
  • 1- 3+ years of experience as an Executive Assistant or similar role.
