About Company:

AB Service Apartments is a Hotel Facility owned by Afe Babalola University, Ado Ekiti (ABUAD). The facility is designed to be fully residential for both staff and students. The staff housing scheme is being developed in phases. The first phase contains 72 ultra-modern three-bed-room apartments.

Job Description:

We are seeking a highly organized and detail-oriented Secretary / Administrative Assistant to streamline our office operations and provide high-level support to our management team. In this role, you will be the custodian of company records and the engine behind our meeting efficiency. You will ensure that documentation is flawless, schedules are airtight, and the administrative backbone of the company is robust. Requirements:

1. Documentation & Correspondence Management

  • Records Custodianship: Organize and maintain a highly accessible digital and physical filing system for all company records and sensitive documents.

  • Professional Drafting: Prepare, proofread, and dispatch official correspondence, memos, and reports with a high degree of accuracy and professional tone.

  • Information Flow: Manage incoming and outgoing mail, ensuring that all time-sensitive documents reach the appropriate stakeholders immediately.

2. Meeting Coordination & Secretarial Support

  • Meeting Readiness: Coordinate the logistics for all management and board meetings, including room booking, equipment setup, and the preparation of agendas.

  • Minute Taking: Attend meetings to record accurate minutes, tracking action items and ensuring follow-up reports are distributed to attendees.

  • Schedule Optimization: Proactively manage executive calendars, ensuring a balance between internal meetings, external appointments, and focused work time.

3. General Administrative Excellence

  • Operational Support: Assist Management with ad-hoc administrative tasks, including travel arrangements, expense tracking, and basic data entry.

  • Office Synergy: Act as a central point of contact for staff, facilitating clear communication and ensuring office supplies are consistently stocked.

  • Confidentiality: Maintain absolute discretion regarding private company information and executive discussions.

Qualifications and Skills:

Professional Background

  • Education: Minimum of OND, HND, or B.Sc. in Secretariat Studies, Office Technology Management, or a related field.

  • Skills: Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and professional email etiquette.

  • Expertise: Strong shorthand or fast-typing skills with an eye for grammatical perfection.

Core Competencies

  • Organizational Grit: Ability to manage multiple files and schedules simultaneously without losing focus.

  • Proactivity: Anticipating the needs of the Management team before they arise (e.g., preparing meeting files 24 hours in advance).
