Job Description:

We are seeking a highly organized and detail-oriented Administrative Officer to anchor our corporate operations in Lagos. In a high-velocity business environment, the Administrative Officer is the "Systems Architect", the professional responsible for ensuring that office workflows are seamless, budgets are respected, and information is meticulously archived. This role is designed for an "Operational Anchor", a professional with proven administrative experience who can blend "Technical Grit" in MS Office with the interpersonal skill required to manage both internal employee queries and external client relations.

Your mission is to ensure "Zero-Friction Office Logistics and Data Integrity." You will be the primary steward of our corporate infrastructure: responsible for managing office budgets, maintaining confidential databases, and orchestrating the company calendar. If you possess "Problem-Solving Mastery," a high level of professional discretion, and a drive for organizational excellence, we want you to lead our administrative function.

Requirements:

1. Fiscal Governance & Resource Management

  • Budget Stewardship: Prepare regular reports on office expenses and departmental budgets, ensuring fiscal transparency and cost-optimization.

  • Procurement Orchestration: Manage office supplies stock levels and place timely orders to prevent any disruption in daily operations.

  • Travel & Logistics: Coordinate travel arrangements and accommodations for staff, ensuring all logistical needs are met within company policy.

2. Information Architecture & Documentation

  • Database Integrity: Maintain and update company databases to ensure that employee, client, and partner information is accurate and accessible.

  • Filing Governance: Organize and sustain a rigorous filing system for critical and confidential company documents, ensuring rapid retrieval and data security.

  • Correspondence Flow: Distribute and archive all incoming/outgoing correspondence (emails, letters, and packages) to maintain a clear audit trail of communications.

3. Schedule Coordination & Event Management

  • Calendar Mastery: Manage the master company calendar, scheduling appointments and booking meeting rooms to avoid time-conflicts.

  • Event Orchestration: Schedule and coordinate both in-house and external corporate events, managing everything from attendee lists to venue logistics.

  • Policy Evolution: Regularly review and update office policies to ensure they align with current business needs and regulatory standards.

Qualifications and Skills:

Professional Profile

  • Experience: Proven work experience as an Administrative Officer, Administrator, or a similar coordination role.

  • Technical Mastery: Solid knowledge of office procedures and high proficiency in MS Office (specifically MS Excel and MS Word).

  • Communication: Excellent written and verbal communication skills with a strong "Presence" for handling employee and client queries.
