Job Description:

Are you a highly organized professional who thrives on creating order and efficiency? We are seeking an Administrative Officer to serve as the operational anchor of our organization. In this role, you will be responsible for streamlining office procedures, managing critical documentation, and ensuring that daily functions run with precision.

As a central support figure, you will bridge the gap between various departments and senior leadership, enabling the entire organization to focus on its core strategic objectives.

Requirements:

Core Office Administration

  • Operational Oversight: Manage daily office activities to ensure maximum organizational efficiency.

  • Systems Management: Maintain and optimize office systems, procedures, and official records.

  • Policy Compliance: Ensure that administrative policies are consistently followed across all departments.

Documentation & Information Security

  • Records Management: Oversee both digital and physical filing systems, ensuring all official documents are organized and easily retrievable.

  • Data Integrity: Maintain the confidentiality and security of sensitive company information and data.

  • Correspondence: Draft high-quality official correspondence, including reports, memos, and executive letters.

Logistics & Coordination

  • Stakeholder Liaison: Serve as a primary communication link between staff, management, and external partners.

  • Resource Management: Monitor office supplies, manage procurement cycles, and oversee equipment maintenance.

  • Event Support: Provide logistical coordination for board meetings, staff trainings, and corporate events.

Reporting & Data Management

  • Business Analytics: Compile and present administrative reports for management review.

  • Database Maintenance: Regularly update internal databases to ensure accurate tracking of operational activities.

Qualifications and Skills:

  • Education: Bachelor’s degree in Business Administration, Public Administration, Management, or a related field.

  • Experience: 2–3 years of proven administrative or office management experience.

  • Technical Skills:

    • Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

    • Familiarity with digital record systems or office management software is an advantage.
