Job Description:
We are seeking a tech-savvy and highly organized Administrative Assistant to support the Human Resources and Administrative departments across two (2) affiliated companies. The ideal candidate will be proficient in using digital tools for both professional and social engagement and possess a proactive approach to administrative and operational support. This role involves data entry, weekly operational check-ins, client support, social media management, and ensuring compliance with company policies and regulations. A keen eye for detail, strong organizational skills, and discretion in handling sensitive financial and personal data are essential.
Requirements:
Accounting & Office Management
Perform accurate data entry and prepare documents such as letters, memos, and reports.
Manage facility bookings and coordinate setup for events or meetings.
Document Management
Maintain organized and up-to-date filing systems.
Draft, edit, and prepare correspondence, reports, and presentations.
Operations Support
Assist the HR and Admin departments with various operational tasks.
Conduct weekly check-ins with operations staff and share safety reminders.
Project Coordination
Schedule and organize meetings; record and distribute meeting minutes.
Collect and compile information for progress and status reports.
Facilitate interdepartmental communication and track follow-ups with stakeholders.
Communication & Coordination
Support internal communications across departments and staff.
Ensure consistent and timely dissemination of information.
Technology & Tools
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Willingness to learn and use company-specific software.
Comfortable using AI tools to enhance productivity and workflow.
Qualifications and Skills:
Bachelor’s degree or Higher National Diploma (HND) in any discipline.
0–2 years of experience in an administrative or similar role.
Strong organizational and multitasking abilities.
Excellent written and verbal communication skills.
High level of attention to detail and accuracy.
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
