Job Description:

We are seeking an organized, methodical, and operationally disciplined Warranty Officer to anchor our technical after-sales and warranty administration unit in Isolo. In this role, you will serve as the critical operational bridge between the active workshop floor, the accounts department, and external branches. You will take full ownership of the warranty lifecycle—vett-checking eligibility, auditing internal financial claims, managing the physical storage of replaced components, and ensuring absolute compliance with warranty policies.

The ideal candidate possesses excellent record-keeping hygiene, basic accounting knowledge, and the communication skills required to maintain an audit-ready technical facility.

Requirements:

Warranty Verification & Administration

  • Eligibility Vetting: Review and verify all inbound Prior Warranty Authorization (PWA) requests and inquiries from the local branch and regional centers before approving repairs.

  • Claim Lifecycle Tracking: Manage the end-to-end documentation of claims, ensuring that every submission is accurately tracked, verified against policy frameworks, and closed out seamlessly.

  • Cross-Departmental Liaison: Partner closely with workshop supervisors, service advisors, and the Accounts Department to collect, process, and reconcile internal warranty invoices.

Inventory Control & Store Management

  • Parts Retrieval: Systematically collect replaced/defective warranty parts directly from the workshop floor upon job completion.

  • Store Optimization: Manage and organize the dedicated physical warranty storeroom, ensuring it is meticulously labeled, clean, secure, and ready for regulatory or corporate audits.

  • Reverse Logistics: Oversee the structural tracking, documentation, and returns of defective parts to manufacturing hubs or regional vendors as required.

Reporting & Compliance

  • Data Compilation: Prepare and submit structured weekly reports detailing all completed warranty jobs, outstanding approvals, and pending payouts.

  • Audit Readiness: Maintain clean, easily retrievable digital and physical archives of all warranty actions, matching parts documentation with financial records to prevent operational leakages.

Qualifications and Skills:

Education & Experience

  • Degree: Minimum of an OND, HND, or Bachelor’s Degree in Business Administration, Accounting, Engineering, or a related field.

  • Track Record: 1–3 years of verifiable experience in warranty administration, automotive workshop operations, or industrial after-sales support.

  • Domain Knowledge: A solid foundational understanding of automotive workshop workflows or technical service environments is highly advantageous.

Technical Competencies

  • Software Fluency: Intermediate proficiency in Microsoft Excel (for tracking matrices, parts numbers, and timelines) alongside polished professional email communication skills.

  • Financial Literacy: Basic bookkeeping and accounting knowledge required to review invoices and reconcile internal expenses with the finance team.
