Job Description:

We are seeking a professional and highly organized Secretary / Receptionist to serve as the face of our organization. In this dual-capacity role, you will manage our front desk operations and provide critical administrative support to our management team. As the first point of contact for clients and visitors, you are responsible for maintaining a welcoming, professional atmosphere while ensuring that office communications and daily schedules run like clockwork. The ideal candidate is a proactive communicator with a sharp eye for detail and the ability to multitask effectively.

Requirements:

Front Desk & Reception Operations

  • Visitor Management: Greet and attend to all visitors and guests with a high level of courtesy and professionalism.

  • Call Handling: Efficiently manage the switchboard by answering calls, directing inquiries to the appropriate departments, and taking accurate messages.

  • Scheduling: Coordinate appointment calendars, maintain digital/physical visitor logs, and manage meeting room bookings.

  • Logistics: Receive and distribute incoming mail and courier packages; manage the dispatch of outgoing corporate correspondence.

  • Environment: Ensure the reception and waiting areas are consistently clean, organized, and reflective of our brand standards.

Secretarial & Administrative Support

  • Management Support: Assist the leadership team by drafting professional memos, reports, and official correspondence.

  • Meeting Coordination: Schedule staff meetings and travel arrangements; attend sessions to take accurate minutes and track follow-up action items.

  • Documentation: Organize and maintain robust filing systems (both digital and physical) to ensure data is secure and easily retrievable.

  • Procurement & Inventory: Monitor and replenish office supplies and pantry items; coordinate with vendors to ensure the office is always well-stocked.

  • Facility Liaison: Handle routine office errands and liaise with service providers to manage repairs and general office maintenance.

  • Event Planning: Provide logistical support for the organization of company workshops, meetings, and corporate events.

Qualifications and Skills:

  • Education: Bachelor’s degree or HND in Secretarial Studies, Business Administration, or a related field.

  • Experience: 2–5 years of experience in a front desk, reception, or secretarial role.

  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with digital filing systems.

  • Communication: Exceptional verbal and written English skills with a polished and professional demeanor.

  • Organizational Skills: Proven ability to manage multiple priorities and deadlines with minimal supervision.
