Job Description:
Executive Workflow & Calendar Management
Strategic Scheduling: Manage the Executive Director’s complex daily calendar, prioritizing high-value meetings and protecting the Director’s time from unnecessary interruptions.
Meeting Lifecycle: Coordinate logistics for internal and external meetings, prepare agendas in advance, and ensure the Director is fully briefed for every engagement.
Task Orchestration: Track all tasks, project deadlines, and deliverables originating from the Director’s office, ensuring timely execution across the team.
Administrative & Personal Support
Communication Gatekeeping: Screen calls, manage high-volume email correspondence, and draft professional documents, memos, and presentations on behalf of the Director.
Information Security: Handle highly confidential and sensitive business information with the utmost discretion and professional integrity.
Travel & Logistics: (If applicable) Coordinate complex travel itineraries, including flights, accommodation, and local transport.
Ad-Hoc Support: Provide personal administrative assistance and manage special projects to allow the Director to focus on core strategic goals.
Requirements:
Extreme Organization: Ability to manage multiple moving parts without losing track of details.
Professionalism: A polished, confident demeanor that reflects the standards of the Executive Office.
Discretion: A proven track record of maintaining total confidentiality.
Schedule: Must be available to work Monday to Saturday as required
Qualifications and Skills:
Experience: 2–3 years of proven experience as a Personal or Executive Assistant, specifically supporting C-suite or Senior Leadership.
Communication Mastery: Exceptional command of spoken and written English; ability to communicate with high-level stakeholders.
Technical Proficiency: * Advanced MS Office Suite (Word, Excel, PowerPoint).
Expert knowledge of Google Workspace or Outlook Calendar management.
Operational Agility: Ability to work independently with minimal supervision and solve problems under pressure.
