Job Description:

We are seeking a highly organized and proactive Executive Secretary to provide high-level administrative and coordination support to our CEO. This role is pivotal in ensuring the executive office operates smoothly, efficiently, and with the highest degree of professionalism. You will serve as a key point of contact, managing complex schedules, safeguarding sensitive documentation, and facilitating seamless communication across all levels of the organization. The ideal candidate is a detail-oriented professional who excels at multitasking in a fast-paced environment and exercises absolute discretion.

Requirements:

  • Executive Administration: Manage the CEO’s calendar, appointments, and meeting schedules with precision. Draft and prepare reports, memos, and official correspondence, ensuring all materials meet the highest standards of professional quality.

  • Communication & Liaison: Serve as the primary liaison between the executive office and internal/external stakeholders. Relay information accurately and promptly to ensure seamless operational flow.

  • Meeting Coordination: Organize high-level meetings, prepare agendas, record minutes, and actively follow up on action points to drive accountability.

  • Records Management: Maintain comprehensive and secure filing systems (both physical and digital) for all communications, meetings, and official documents, ensuring rapid and easy retrieval.

  • Compliance Support: Assist in maintaining records required by regulatory bodies and industry associations, and support compliance-related reporting activities.

  • Office & Logistics: Monitor office supplies, manage procurement needs, and ensure the executive office environment remains functional and orderly. Assist with complex travel arrangements, logistics, and corporate event coordination.

Qualifications and Skills:

  • Education: Bachelor’s degree in Business Administration, Mass Communication, or a related field.

  • Experience: 1–3 years of proven experience in an administrative or secretarial role.

  • Technical Proficiency: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).

  • Organizational Skills: Exceptional time management, record-keeping, and multitasking abilities.

  • Communication: Superior verbal and written communication skills with the ability to articulate information clearly.

  • Professionalism: Demonstrated capacity for maintaining strict confidentiality, exercising sound judgment, and maintaining a professional executive presence at all times.
