Job Description:

  • We are seeking a highly organised and detail-oriented Executive Assistant to support the Production Manager in overseeing day-to-day production operations.
  • This role is central to ensuring smooth workflow, maintaining quality standards, and keeping accurate inventory records.
  • The ideal candidate is disciplined, proactive, and able to coordinate multiple tasks in a fast-paced fashion production environment.

Key Responsibilities

Production Support

  • Assist the Production Manager with daily planning, coordination, and follow-up

  • Track production timelines, batch progress, and delivery schedules

  • Communicate with tailors, machinists, pattern cutters, and external vendors

  • Prepare production sheets, work orders, and documentation

  • Monitor raw materials usage and escalate shortages promptly

Quality Assurance

  • Inspect finished garments for stitching quality, sizing accuracy, finishing, labels, and trims

  • Ensure adherence to quality standards before items are approved for packing

  • Document defects, return items for corrections, and track resolution

  • Maintain QA checklists, samples, and approval records

  • Report recurring quality issues to the Production Manager for process improvement

Stock Keeping & Inventory

  • Maintain updated records of fabrics, accessories, trims, and finished goods

  • Conduct daily or weekly stock counts depending on production volume

  • Track material consumption per style and update inventory sheets

  • Alert management when stock levels fall below reorder points

  • Oversee proper storage, labelling, and organisation of materials and finished products

Administrative & Coordination Tasks

  • Schedule meetings, manage communication and updates for the Production Manager

  • Prepare reports (production output, quality logs, inventory status)

  • Organise files, samples, and production documentation

  • Liaise between production, sales, and operations teams to ensure smooth workflow

Requirements:

  • OND/HND/Bachelor’s degree preferred

  • 1–3 years experience in production, inventory, fashion operations, or administrative roles

  • Strong organisational and multitasking ability

  • Good understanding of garment production processes (added advantage)

  • Detail-oriented, disciplined, and strong at follow-through

  • Proficient in Excel/Google Sheets and basic reporting

  • Good communication and teamwork skills

  • Ability to work in a fast-paced production environment

  • Willingness to learn and grow within the production and fashion operations space

Qualifications and Skills:

Nice-to-Have

  • Experience in quality control or stock management

  • Understanding of different fabrics, trims, and garment construction

  • Basic knowledge of production tools and machinery

  • Familiarity with inventory management software
