Job Description:
- The Executive Assistant to the Managing Director provides high-level administrative, strategic, and operational support to ensure the efficient functioning of the MD’s office. In an EPCIM environment, the role requires strong coordination across engineering, procurement, construction, and project teams, ensuring seamless communication, project tracking, and executive decision support.
Key Responsibilities
Executive & Administrative Support:
- Manage the MD’s calendar, appointments, and travel logistics (local & international).
- Prepare and review correspondence, reports, presentations, and briefing notes.
- Screen calls, emails, and requests, ensuring prioritization and timely responses.
- Organize and coordinate executive meetings, including agendas and minutes.
Strategic Coordination & Follow-ups:
- Track and monitor key projects across EPCIM functions to ensure deadlines are met.
- Follow up with department heads (Engineering, Procurement, Construction, etc.) on deliverables.
- Support the MD in executing strategic initiatives and business priorities.
- Prepare dashboards and status reports for executive decision-making.
Communication & Stakeholder Management:
- Serve as a liaison between the MD and internal/external stakeholders.
- Coordinate communication with clients, vendors, regulators, and partners.
- Maintain confidentiality in all executive matters.
Documentation & Reporting:
- Maintain organized records of contracts, reports, and executive documents.
- Assist in preparing board reports, management reports, and business proposals.
- Ensure proper documentation of meetings, decisions, and action items.
Project & Operations Support:
- Assist in tracking project milestones, risks, and performance metrics.
- Support procurement and contract documentation processes where required.
- Coordinate site visit schedules and logistics for the MD.
Office & Executive Coordination:
- Ensure smooth day-to-day operations of the MD’s office.
- Coordinate special projects, events, and executive engagements.
- Handle sensitive issues with professionalism and discretion.
Requirements:
Education:
- Bachelor’s Degree in Business Administration, Management, or related field.
Experience:
- 4+ years experience as an Executive Assistant, preferably in EPC, construction, oil & gas, or related industries.
Skills & Competencies:
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- High level of discretion and confidentiality.
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word).
- Knowledge of project management tools is an added advantage.
- Ability to work in a fast-paced, deadline-driven environment.
Working Conditions:
- Office-based with occasional travel to project sites.
- May require extended working hours based on executive demands.
Salary
