Job Description:

  • We are looking for an Executive Assistant to provide high-level administrative and strategic support to senior leadership.
  • The ideal candidate will serve as the primary gatekeeper and trusted liaison, managing the executive’s schedule, communications, and critical operational priorities.
  • This role requires an agile, proactive professional with exceptional judgment, project management skills, and total discretion.

 

Key Responsibilities

  • Gatekeeping & Communication: Screen, prioritize, and manage incoming communications, emails, and meeting requests on behalf of the executive.
  • Calendar Architecture: Structure, optimize, and maintain complex, fluid executive calendars across multiple time zones.
  • Meeting Governance: Coordinate executive meetings, build detailed agendas, record action items, and track follow-up progress.
  • Travel Management: Plan comprehensive, end-to-end international and domestic travel itineraries, including flights, hotels, ground transport, and visas.
  • Project Support: Conduct research, analyze data, and prepare polished executive summaries, slide decks, and corporate briefings.
  • Expense Management: Track, compile, and submit monthly corporate expense reports and invoice documentation accurately.
  • Liaison Relations: Build strong working relationships with internal department heads, external board members, and high-value clients.

Requirements:

  • Bachelor’s Degree in Business Administration, Communications, or a related field is highly preferred.
  • 3–5+ years of experience supporting C-level executives, ideally in a fast-paced or corporate environment.
  • High proficiency with productivity suites (Google Workspace/MS Office) and project tools (Slack, Asana, Notion).
  • Ability to anticipate scheduling conflicts, logistical bottlenecks, and administrative issues before they happen.
  • Polished, diplomatic written and verbal communication skills tailored for high-profile stakeholders.
  • Unwavering professional ethics and proven experience handling highly confidential corporate information.
  • High resilience, emotional intelligence, and the capacity to pivot strategies quickly under pressure.
