Job Description:
We are seeking a sophisticated, high-performing Executive Assistant to serve as the strategic engine behind the Executive’s office. This role is designed for a "Force Multiplier"—a professional who can anticipate needs before they arise, manage high-stakes diplomacy with external VIPs, and ensure that the Executive is positioned for success in every engagement.
You will act as the primary conduit between the Executive and a diverse network of internal departments, government officials, and global business partners. Requirements:
1. Strategic Calendar & Engagement Governance
Prioritization Mastery: Curate and manage a complex, high-velocity calendar, ensuring the Executive’s time is focused on top-tier strategic priorities.
Meeting Lifecycle: Lead the preparation for Board meetings and executive sessions by developing agendas, comprehensive briefing notes, and tracking post-meeting action items to completion.
High-Profile Coordination: Manage logistics for engagements with VIPs, government stakeholders, and industry leaders with a deep understanding of corporate protocol.
2. Diplomatic Communication & Liaison
Primary Point of Contact: Serve as the sophisticated "Front Door" to the Executive’s office, managing all incoming inquiries with tact and professional judgment.
Ghostwriting & Reporting: Draft and refine high-level memos, reports, and presentations that mirror the Executive’s voice and meet the standards of C-suite decision-making.
Confidentiality Stewardship: Maintain an ironclad commitment to discretion, handling sensitive corporate and personal data with absolute integrity.
3. Operations, Logistics & Project Oversight
Global Travel Design: Orchestrate complex domestic and international itineraries, managing everything from visa protocols and security to minute-by-minute ground logistics.
Information Architecture: Build and maintain digital and physical filing systems that allow for the instantaneous retrieval of critical records and historical data.
Project Tracking: Monitor key organizational initiatives and deadlines, acting as a "nudge" to ensure cross-departmental tasks are delivered on time.
Qualifications and Skills:
Professional Profile
Education: Bachelor’s Degree in Business Administration, Communications, or a related field.
Experience: 3–5 years of progressive experience supporting C-suite executives or Senior Directors in a high-growth or corporate environment.
Language: Mastery of English with the ability to draft executive-level prose and persuasive presentations.
Core Competencies
Organizational Agility: Ability to juggle multiple high-priority tasks without losing sight of minute details.
Discretion: Proven track record of managing sensitive information with the highest ethical standards.
Technical Savvy: Advanced proficiency in Microsoft 365 / Google Workspace and project management tools (e.g., Asana, Trello, or Slack).
