Job Description:

We are seeking a highly organized and system-driven Customer Service Officer to manage the end-to-end order fulfillment process. At Evans Industries, this role is the critical bridge between our customers, the warehouse, and our logistics fleet.

You will be the primary operator of our Microsoft Dynamics ERP, transforming customer requests into accurate financial documents and physical shipments. This is a high-responsibility role requiring a unique blend of customer diplomacy, inventory precision, and logistical coordination. If you have 3–5 years of experience in a manufacturing or distribution setting and a "zero-error" mindset, we want to hear from you.

Requirements:

1. Order Architecture & ERP Governance

  • Inbound Management: Receive, confirm, and capture all customer orders within the Microsoft Dynamics ERP system.

  • Data Intelligence: Generate daily Customer Order Reports to provide visibility into demand and fulfillment status.

  • Invoicing & Approvals: Raise and post invoices based on exact truck loads, ensuring all financial documents are approved by the General Manager or Directors before dispatch.

2. Supply Chain & Logistics Coordination

  • Inventory Reconciliation: Liaise with the Warehouse to verify that loading lists align with the Daily Inventory Report and real-time finished goods stock in the ERP.

  • Transport Liaison: Coordinate with the Transport Department to ensure vehicle availability and verify third-party truck details (including security photography) for external pickups.

  • Loading Oversight: Generate and forward Loading Lists to the warehouse, ensuring the physical load matches the digital order exactly.

3. Post-Dispatch & Relationship Management

  • Documentation Flow: Ensure all approved Invoices and Waybills are correctly distributed to Security, Drivers, and Customers.

  • POD Mastery: Actively track and retrieve Proof of Delivery (POD) signed by customers, ensuring these are filed perfectly for audit and payment reconciliation.

  • Distributor Support: Manage the weekly distribution of sub-distributor invoices and resolve any order-related complaints with speed and professionalism.

Qualifications and Skills:

Professional Profile

  • Education: Minimum of a Bachelor's Degree in Business Administration, Supply Chain Management, Economics, or a related field.

  • Experience: 3–5 years of progressive experience in order management, sales operations, or customer service within a distribution/manufacturing environment.

  • Technical IQ: Proficiency in Microsoft Dynamics ERP (or similar systems like SAP/Oracle) is highly desirable.

Core Competencies

  • Meticulous Accuracy: A "detective’s eye" for numbers to prevent invoicing errors and inventory leakage.

  • Logistical Fluency: Understanding of truck loading, waybills, and security release procedures.

  • Relationship Management: Ability to coordinate effectively across Warehouse, Security, and Transport departments.
