Job Description:

The Administrative Officer is the operational anchor of our organization, responsible for providing the high-level support and facility management necessary to ensure seamless day-to-day business activities. This role bridges the gap between organizational policy and practical execution—managing everything from office procurement and facility maintenance to staff logistics and budget tracking. The ideal candidate is a disciplined, detail-oriented professional who can oversee multiple support services while maintaining a strict eye on cost control and policy compliance.

Requirements:

1. Office & Facility Stewardship

  • Daily Operations: Architect and maintain a functional, high-standard working environment for all departments.

  • Procurement & Inventory: Lead the procurement cycle for office consumables and stationery, maintaining rigorous inventory logs to prevent waste.

  • Facility Maintenance: Oversee utilities and equipment servicing, ensuring that all physical assets are operational and repairs are conducted with minimal disruption.

2. Logistics & Workforce Support

  • Travel & Hospitality: Coordinate complex travel arrangements, including flights, accommodation, and ground logistics for staff and international visitors.

  • Support Staff Supervision: Manage the performance and scheduling of office drivers, cleaners, and security personnel to ensure consistent service quality.

  • Meeting Governance: Coordinate high-level meetings, including venue preparation, minute-taking, and tracking action points to completion.

3. Financial Control & Documentation

  • Budget Monitoring: Support the preparation of the administrative budget and track monthly expenses to ensure cost-effective operations.

  • Vendor Management: Liaise with service providers, process invoices, and verify bills against service delivery for payment approval.

  • Record Integrity: Maintain meticulous physical and electronic filing systems for administrative records, staff movements, and asset registers.

Qualifications and Skills:

Education & Experience

  • Academic: Bachelor’s degree in Business Administration, Public Administration, Management, or a related discipline.

  • Tenure: 4–5 years of relevant experience in an administrative or office support role.

  • Sector Advantage: Experience in Corporate, Construction, Oil & Gas, or project-based environments is highly preferred.

Core Competencies

  • Systems Proficiency: High level of competence in Microsoft Office Suite (specifically Excel for budget tracking and Word for professional correspondence).

  • Communication: Exceptional written and verbal skills for drafting official memos and interacting with regulatory bodies.

  • Autonomy: Proven ability to manage a diverse workload under minimal supervision with high professional integrity.

  • Attention to Detail: A sharp eye for record-keeping accuracy and procedural compliance.
