Requirements:
Office & Operations Management
Daily Supervision: Oversee all daily office operations to ensure a smooth and professional working environment.
Facilities Coordination: Manage the procurement and maintenance of office supplies and equipment, coordinating with service providers for repairs and facilities management.
Safety & Compliance: Assist in the implementation of administrative systems and ensure all staff adhere to established company policies.
Administrative & Executive Support
Scheduling: Assist senior management by organizing complex schedules, meetings, travel arrangements, and official appointments.
Document Control: Prepare, manage, and file essential reports, presentations, and correspondence.
Records Management: Maintain secure and accurate filing systems (both physical and digital) and ensure all databases are updated regularly.
Communication & HR Support
Stakeholder Liaison: Serve as the primary point of contact for internal teams and external inquiries, facilitating clear communication across departments.
HR Assistance: Support the recruitment lifecycle by posting job openings and scheduling interviews. Assist in onboarding new hires and maintaining employee records.
Financial & Procurement Tasks
Budgeting: Manage petty cash and assist with basic departmental budgeting tasks.
Purchasing: Process invoices, manage purchase orders, and coordinate the procurement of necessary services and supplies.
Qualifications and Skills:
Education: Bachelor’s Degree in Business Administration or a related field.
Experience: Proven experience in an administrative or office management role.
Technical Skills:
Proficiency in MS Office Suite (Word, Excel, PowerPoint).
Strong familiarity with digital filing systems and database management.
