Job Description:
We are seeking a highly organized and proactive Administrative Officer to serve as the operational backbone of our organization. You will be responsible for ensuring that day-to-day office functions, facility maintenance, and support services run seamlessly in accordance with company policies. This role requires a professional who can balance meticulous record-keeping with the logistics of facility management and budget oversight. The ideal candidate is a disciplined multitasker who can manage vendor relationships, supervise support staff, and ensure a functional, safe, and cost-effective working environment.
Requirements:
1. Office Operations & Facility Management
Workplace Functionality: Coordinate daily operations to maintain a professional and fully functional office environment.
Supply Chain & Inventory: Manage the procurement lifecycle for office consumables and stationery, maintaining rigorous inventory controls.
Maintenance Oversight: Supervise the servicing of office equipment and utilities, ensuring rapid response to facility repairs.
Support Staff Leadership: Direct the activities of drivers, cleaners, and security personnel to ensure high service standards.
2. Documentation & Human Capital Support
Records Integrity: Maintain a high-fidelity filing system (physical and digital) for all administrative and staff-related documentation.
HR Lifecycle Support: Assist in the administrative aspects of staff onboarding, exit processes, and attendance tracking.
Asset Custodianship: Ensure the proper documentation, tagging, and safekeeping of all company physical assets.
3. Financial Control & Compliance
Budget Stewardship: Support the preparation and monitoring of the administrative budget, tracking expenses to ensure cost-efficiency.
Vendor Management: Liaise with service providers and regulatory bodies, verifying invoices and vendor bills against service delivery before approval.
Policy Enforcement: Act as a gatekeeper for company administrative policies, safety standards, and internal controls.
Qualifications and Skills:
Education & Experience
Academic Background: Bachelor’s degree in Business Administration, Public Administration, Management, or a related discipline.
Proven Tenure: 4–5 years of relevant experience in an administrative or office support role.
Industry Advantage: Experience in Construction, Oil & Gas, or Project-based environments is highly regarded.
Technical & Core Competencies
Software Mastery: High proficiency in Microsoft Office Suite (Word for memos, Excel for budget tracking, and Outlook for coordination).
Communication: Excellent verbal and written skills for drafting official reports and taking precise meeting minutes.
Organizational Agility: Proven ability to multitask and work independently under minimal supervision while maintaining high attention to detail.
